How to Hide Past Enrollments

Learn the various ways to hide past enrollments

If you don't want to view old enrollments and all payments are done for these enrollments, you have some choices on how to hide them:

  • Archive Progrms

  • Archive Enrollment Period

  • Deactivate Enrollments by Account or Class

Archive Old Programs

When you archive a program, the following are the consequences:

  • Removes it from the enroll form

  • Removes it from the customer portal and the instructor portal

  • All classes within the program are inaccessible on the Classes page

  • Cancels any future class reminders

  • Cancels any future invoice and payment events scheduled

  • The historical context of enrollments are preserved

To archive a program, go the the Programs page. Click the three dots beside the Program you wish to archive and choose "Archive."

Archive Old Enrollment Periods

When you archive old enrollment periods, the following happens:

  • Removes it from the enroll form

  • Removes it from the customer portal and the instructor portal

  • Cancels any future class reminders

  • Cancels any future invoice and payment events scheduled

  • The historical context of enrollments are preserved

To archive an enrollment period, go to the Classes Tab/Classes or the Programs page (Classes/My Company > Programs) and click on the down arrow beside the Enrollment Periods. Click the cogwheel beside the Enrollment Period you wish to archive. A new menu will appear. Select the box icon (when you hover over it with your mouse, you will see a message, “Archive this Enrollment Period”).

Deactivate Enrollment(s)

When you deactivate one or more enrollments, the following will happen:

  • Deactivation removes the enrollee from their class

  • Turns off auto-billing so that invoices will not be automatically added

  • Removes any payment plans attached to the enrollment (no payment events will be added)

  • Makes the enrollment inactive

  • Does not make the account inactive

  • Does not zero out the account balance

  • Does not remove any data permanently

  • Does not turn off auto-pay; if any current invoices remain, and auto-pay is left on, it will run again to collect on those invoices

There are two ways to deactivate enrollments:

By Individual Account

Find the enrollee using our search bar at the top of Enrollsy. Under that enrollee's name tab (NOT the Billing tab), find the program they are withdrawing from and flip the switch to deactivate them.

By Class (Bulk Method)

Go to the Classes page and find the class with enrollees you need to remove. Select the enrollees and click "Reassign" to move them to the Unassigned list.Then select all enrollees in the Unassigned list that you want to deactivate and click "Remove."This allows you to either deactivate the enrollment or deactivate and delete it.

Reactivating later: If you need to reactivate an enrollment later, simply switch the toggle button back on.
