How to Add Notes to Invoices and Transactions

Add public and private comments when creating, posting, or editing invoices and transactions

Enrollsy lets you leave a note any time you post or edit an invoice, credit, or payment on a customer's account. You can choose between two comment types: a Public comment, which the customer can see in the Customer Portal, and a Private comment, which is internal-only and visible to Admin Users. Both comment types have a 500-character limit. There are several ways to add a comment depending on where you're working in Enrollsy, covered in the sections below.

Add a Comment While Creating an Invoice

Follow these steps to add a note while creating a new invoice from a customer's Billing page.

Step 1 - Create the Invoice

Go to a customer's Billing page and click Post Transaction at the top of the page.

In the window that opens, select Create Invoices. The account holder's name populates automatically — select the enrollment from the dropdown menu, then click Next.

Step 2 - Enter Invoice Details

Enter the invoice due date. If the account has a payment method on file with Auto-Pay turned on, this due date also becomes the Auto-Pay date. Enter an invoice number or accept the system-generated one, then click Next.

Step 3 - Add a Comment

Add a Public comment and/or Private comment. A public comment appears in the transaction history for the account holder to view; a private comment is visible only to Admin Users. Comments are limited to 500 characters.

Step 4 - Post the Invoice

Scroll down, select the appropriate charge item from the dropdown and enter the amount. Do the same for any credits, then post the invoice.

Add a Comment While Posting a Credit or Payment

Follow these steps to add a note when posting a credit or collecting a payment using the Post Transaction button.

Step 1 — Open the Post Transaction Menu

Click the plus (+) button beside Invoices in the left sidebar menu.

Step 2 — Select an Option

Select one of the four options: Create Invoices, Post Credits, Collect Payment, or Refund/Void Payment.

Step 3 — Add a Comment

A window opens where you can enter the charge, credit, or payment. Add a Public comment and/or Private comment to further describe it.

Add or Edit a Comment on an Existing Transaction

You can also add or edit a comment on a transaction that's already been posted. There are two ways to do this, depending on where you're working.

From the Invoices Page

Step 1 — Open the Invoice

On the Invoices page, click Edit beside an invoice.

Within the invoice, click the three dots on any line item, then click Edit.

Step 2 - Add a Comment

Add a Public comment or Private comment.

From the Customer's Billing Page

Step 1 - Go to the Invoice

Go to a customer's Billing page. Under Transaction History, click the three dots on any line item and select Go to Invoice.

Step 2 - Edit the Transaction

Once in the invoice, click the three dots beside the transaction you want to comment on, then select Edit.

Step 3 - Add a Comment

Add a Public comment or Private comment, then click Save.

View Comments in Transaction History

Once you've added a public or private comment, you can view it directly in the Transaction History. Hover over a private comment to make it more prominent and easier to read.
