How Real-Time Reservation Works

Learn how spots can be reserved in real time during Enrollment

Written by Serena Edwards

In your customized Enroll Form, as a customer makes Program or Class selections, their spot(s) are held until they finish and pay. Each customer has 30 minutes to complete enrollment.

How to Enable Real-Time Reservation

  1. From the right menu, go to the My Company page.

  2. On the left-hand menu, click Enroll Form.

  3. Locate the Enforce enrollment capacities setting.

  4. Check the box to enable it

  5. Click Save Settings

Tip: Enabling this prevents over-enrollment into Programs and Waitlists at full capacity.

What the Customer Sees

  1. The customer selects a Program or Class — the spot is reserved and a 30-minute timer begins.

  2. The Program/Class capacity is decremented in real time so others can't double-book.

  3. At the 5-minute mark, the customer is offered the option to extend their time.

  4. If they don't complete enrollment in time, the reservation is automatically released.

Important Notes

High-Demand Enrollments

If you expect a surge of simultaneous enrollments, we recommend setting your capacity 1–3 spots below your true capacity during the initial enrollment window. This buffer accommodates peak-demand enrollees and ensures a smoother experience.

Note: We're actively working on enhancements to the Enroll Form to better support high-volume scenarios.

Selection Became Full Message

When spots are limited and another customer reserves the last available seat first, your customer will see the message below. They can either:

  • Try another selection, or

  • Contact you so an admin can enroll them manually.
