Enrollsy's Prepayment feature lets customers pay in advance and pre-register before enrollment officially opens. For example, families can pre-register and make monthly prepayments toward tuition, and once they enroll, their prepayment balance is applied automatically.
The Prepayment Charge Item accepts prepaid payments toward future Charge Items, such as tuition fees. Once a customer agrees to prepay, they can make payments on whatever schedule they choose. This helps you predict revenue more accurately and reduces the chance of a missed payment.
Create a Prepayment Charge Item
To set up prepayments, add a Charge Item as your Prepayment (you can name it whatever you like, such as Prepayment). Then specify which Charge Item(s) — such as Tuition — the prepayment credit will go toward. The prepayment balance is applied to the Charge Item automatically once the customer fulfills that payment.
Follow the steps below to add a new Prepayment Charge Item.
Step 1 — Add a New Charge Item
Go to the My Company page and click the Items tab. Click the plus button to add a new Charge Item.
Step 2 — Select Prepayment
Leave the default answers, scroll down, and click Yes under Prepayment.
Step 3 — Choose the Charge Items
Add the Charge Item(s) the Prepayment will apply toward. You can select one or more Charge Items.
Step 4 — Choose the Discount Item
Select the Discount Item the credit will be applied as. If you don't have one set up yet, you can add a new Discount Item.
Step 5 — Save the Charge Item
Save the Charge Item to finish setting up the Prepayment.
Add the Prepayment to a Program or Class
Next, add the Prepayment Charge Item to your Program(s) or Class(es) so pricing reflects it.
If pricing is on your Programs:
Step 1 — Open the Programs Page
Go to your Programs page (Classes menu > Program tab, or My Company page > Programs tab). Click the edit pencil beside the Program. Note: you cannot bulk edit pricing at this time.
Step 2 — Add the Prepayment to Pricing
Click Fixed Cost under Pricing, then add the Prepayment Charge Item under Total Cost along with the amount.
Step 3 — Save
Click Save to save the Prepayment Charge Item.
If pricing is on your Classes:
Follow the same steps as above, but go to the Classes page (left menu), click the down arrow beside the Class, then click the pencil icon, as shown below.
Example
Consider a customer who pre-registers for tuition a year in advance and makes monthly prepayments toward the total tuition fee. When it's time for the customer to enroll, their Prepayment balance is automatically applied to their tuition fee, reducing the amount they need to pay.
