Dashboard
When you log in to your Admin Portal, you land on the Dashboard tab by default. You can also get back to it at any time by clicking Dashboard in the left-side navigation menu.
The Dashboard is your financial snapshot — it shows enrollment activity and payment totals at a glance, broken into today, 7-day, 30-day, and 90-day views.
Enrollments
The Enrollments view on the Dashboard shows how many new enrollments you've received across different timeframes. The top block shows today's enrollment count. Below it, three boxes display enrollment totals for the last week, month, and quarter. The charts visualize which specific days or dates had the highest enrollment activity.
To view the total number of Enrollments in the seven days, 30 days and 90 days, click on "Dashboard" on the left menu, then the "Enrollments" tab.
Payments
The Dashboard also gives you a real-time payments overview. You can see total payment amounts collected today, as well as totals for the last 7, 30, and 90 days. To drill deeper into any period, click Go to Report under that date range — this opens a full transaction report for that timeframe.
Invoices Tab
Select Invoices from the left-side navigation menu to see a report of all invoices — paid, current, and upcoming. You can filter this list by Payment Plan Name, Account Name, or specific Charge/Discount Items to find exactly what you need.
Use this tab regularly to monitor who has paid and who hasn't, so you can follow up with customers before balances become overdue.
Post Transaction (+ Icon on the Invoices Tab)
On the Invoices Tab, you'll notice a + icon next to the tab label. Clicking it opens the Post Transaction menu, which lets you take manual billing actions on any account. From here you can:
Post Invoices — manually add an invoice to an account
Post Credits — apply a credit to a customer's balance
Collect Payments Manually — record a payment received outside of autopay
Offer Refunds — issue a refund to a customer
Deposits Tab
Note: If your program only accepts card or ACH payments, you can skip the Deposits Tab
If your Program accepts cash or checks, use the Deposits tab to record when those funds are physically deposited into your bank account. Any cash or check payments recorded on a customer's account (via the + Transaction button) appear here as undeposited payments until you log the deposit.
Each time you take cash or checks to the bank, record it here. This keeps your manual payment tracking accurate and gives you a clear deposit history over time.
Customer Billing Page
To manage billing for a specific customer, use the search icon at the top of any Admin Portal page to find their account. Once you're on their account, select the Billing tab.
From the Customer Billing page, you can manage everything related to that individual account:
View and manage that account's invoices (current, paid, and future)
Post account-specific transactions (invoices, credits, payments, or refunds)
Turn autopay on or off
Update the customer's payment method on file
Pass on account-specific processing fees
Edit, add, or remove payment plans
Review Transaction History — a full timeline of every charge and payment on the account
