How to Modify the Enrollment or Charge Item Linked to a Payment

How to reassign a paid invoice to a different Enrollment or update its Charge Items

When payments are collected automatically through Auto-Pay, they are not automatically linked to a specific Enrollment. These payments are often split across multiple Invoices that may cover different Enrollments. If a paid Invoice needs to be reassigned to a different Enrollment, or if the Charge Item type or amount needs to be corrected, you can edit it directly from the customer's Billing page.

Note: If the payment is an electronic payment (ACH/echeck or credit/debit card), editing will be restricted. You will see a warning inside the Edit Transaction screen if this applies.

Step 1 - Open Paid Invoice

Go to the customer's Billing page and click Manage on the Paid Invoices tab.

Step 2 - Select the Invoice to Edit

Find the Invoice you need to update and click Edit next to it.

Step 3 - Open the Charge Item

Inside the Invoice, find the charge line item (shown in red). Click the three dots (⋮) next to it and select Edit.

Step 4 - Change the Linked Enrollment (Optional)

If the payment needs to be applied to a different Enrollment, use the Enrollee Program dropdown to select the correct one.

Step 5 - Change the Charge Item or Amount (Optional)

If you need to update the type of charge or the dollar amount, scroll to the Charge Items section. Click the dropdown arrow to select a different Charge Item or add additional ones. You can update the amount to any value other than $0.

Note: The Total field at the top of the Edit Charge screen is read-only and cannot be edited directly — changes to the total are made by updating the Charge Items below it.

If You Need to Zero Out a Charge

If the goal is to reduce the charge to $0, do not enter $0 in the amount field — the system does not allow it. Instead, add a Credit to the Invoice with a note explaining what it's for. Future Invoices will automatically apply the Credit to the account balance.
