Regardless of your setup, you will need a Program with a Class inside of it with a Capacity of at least (1) one in order to open enrollment. If you haven't already created Classes, click here to learn how to create a Class.
The following is more information about Classes on the Classes page.
How to Add Class Capacity
If you need to set a capacity for a Program, you will need to create a Class within that Program with a capacity greater than "0."
Simple & Days per Week Enrollment Models Capacity
For Programs that are set up in either the Simple Enrollment Model or the Days per Week Enrollment Model, the Program's capacity equals the Class(es)'s total capacity.
For example, you have a program that has three classes. Each Class has a capacity of "10." The Program's capacity would be a total of "30" (10 x 3 Classes). Be sure to check out Factors Affecting Capacity below.
Classes Enrollment Model Capacity
For Programs that are set up in the Classes Enrollment Model, the capacity is in each Class within that Program. You can have an overcapacity in one Class without it affecting the capacity in another Class. For example, you can set one Class to a capacity of "1" with "8" Enrollees (over by "7") to close a Class without it affecting the other open Classes. See the screenshot below.
Unassigned Enrollees (those listed on the Unassigned List on the Classes page, will affect the capacities of the Classes within each Program, depending on how many Unassigned Enrollees you have, and the total number of open spots in all Classes. If the number of Unassigned Enrollees matches or exceeds the total number of spots open, all Classes will show as full on both the Enroll Form and the Browse page.
Add Capacity
To add capacity to a Class, head to the Classes page (or whatever you have labeled "Classes"). Click on the down arrow on the far right of the Class and click the pencil icon. The capacity will be under the "Basic" section and will default to "0." Enter the Class capacity here.
Edit Capacity
To edit the capacity, click on the down arrow on the far right of the Class and click the pencil icon. Scroll to "Capacity."
No Specific Capacity
If you don't have a "capacity" for a particular Program, but you want to enforce enrollment capacities, then make the Class capacity a high number (i.e., 500 or 1000); otherwise, the Program or Class will NOT show on the Enroll Form, or it will show as "Full."
If you do not need capacities at all, you can go to the Company tab of the My Company settings and uncheck the box that says "Enforce enrollment capacities" (see below).
Factors Affecting Capacity in All Enrollment Models
Factors Affecting Capacity in All Enrollment Models
Several factors can impact the capacity of your Programs and cause them to appear "full" on the Enroll Form. These factors include:
Unassigned Enrollees
Overcapacity Classes
Unassigned Enrollees & Capacity
All unassigned Enrollees, listed in the Unassigned list, count toward the overall Program Capacity. For example, if there are 5 unassigned Enrollees in a Program, that number counts toward the overall Program Capacity.
The Solution
To remedy the above issue, you can do one of the following options:
Increase the Capacity for each Class.
Assign the unassigned Enrollees to one or more Classes.
Add the unassigned Enrollees to a Waitlist then remove them from the unassigned list by clicking "Remove," then "Deactivate," to deactivate the unassigned enrollment. You can also choose "Deactivate and Delete" to completely remove the unassigned enrollment.
Overcapacity Classes (Days per Week & Simple Models)
If you have overcapacity in one or more Classes, the amount over will take up open spots in other Classes. For example, in the screenshot below, two Classes (Kitchen Academy and Lego Robotics) are overcapacity by a total of "3." Those three enrollments are taking up the three open enrollments in the Online Chess Coaching Class. Therefore, on the Enroll Form, all Classes will be "filled."
The Solution
To remedy the above issue, you will need to do one of the following:
Increase the capacity of one or more of the overcapacity Classes.
Increase the capacity of one or more open Classes.
Remove the Enrollees from the overcapacity Class, but do not leave them in the Unassigned List (see Unassigned Enrollees & Capacity above). You can move them to a Waitlist, which will not affect the Program Capacity.
Zero Class Capacity
If you have zero capacity on a Class, neither the Class nor the Waitlist will be visible on the Enroll Form.
The Solution
Add a "test" enrollee in the Class and enter at least a "1" capacity. That way the Class will be full, but the Waitlist will then show.
How to Add a Class Description
Having a class description is important because:
It provides clarity – People know what the Class is about and what to expect.
It helps with decisions – Parents and students can see if the Class is right for them.
It boosts enrollment – A well-written description makes the Class more appealing.
It sets expectations – Outlines what will be taught and any requirements.
It improves searchability – Helps people find your Class online.
It reduces questions – Answers common concerns upfront.
Follow these steps to create a Class Description.
Step 1 - Class Editor
Head to the Classes page and click on the name of the Class you want to add a Class Description to. On the far right will be a pencil icon where you can edit the Class:
Step 2 - Add Description
The editing screen will pop up. Just scroll down and check the box next to the Add Class description as shown below:
Add Text
You can add a description of your Class, a list of materials, or anything else your students need to know. You can also format the wording any way you want. Here is an example:
Add Images, Videos, Etc.
You can also add an image, a video, or a table. To add an image, click on the image icon within the Advanced settings. The image must be in JPG or PNG format.
Important Notes About Images
The image has to be hosted somewhere for you to add it (Enrollsy does not host images, so you are not allowed to download images), such as Dropbox. There are also some free image hosting websites such as Bublup and ImgBB.
Just be sure to use the direct link. For videos, you can use the link or embed code.
The image will be in a SQUARE shape. The original image does not have to be in a square, but it will show up as a square when you upload it. At this time, this cannot be changed. You may need to crop your image using an image editor.
Open the image and right-click. Click "Copy Image Address" and paste it into the "Source" box. A size should pop up under "width" and "height." Adjust this to fit the space. (NOTE: If the size does not show up, the source is incorrect.)
Where Customers See Class Descriptions
Class descriptions are visible to your customers in the following places:
Customer Portal - On the "My Account" page on the Enrollment Card under "Details."
Enroll Form - If your Programs allow for "Class selection," customers will see the Class Description under "Details" in the Class selection window.
Enrollment Confirmation Emails. - On the emails customers receive after enrollment, the Class Description is listed under the "Classes" section and underneath the Class name, time, and Instructor name(s).
Troubleshooting Class Descriptions in Emails
Troubleshooting Class Descriptions in Emails
Switch to Classes Enrollment Model: The Simple Enrollment Model does not allow the association of a description to an enrollment as no Class is being selected at enrollment (and if there are multiple Classes in the Simple Model Program. If possible, use the Classes Enrollment Model, allowing families to select a class during checkout. This ensures class descriptions will be included.
Include Class Details in Welcome Message or Terms: Add vital class information in the enrollment confirmation’s Welcome Message or Terms for an alternative way of communicating them.
Optimize Program Structure: If you need to use the Simple Enrollment Model, set Programs to include only a single Class and enable the "auto-assign enrollments" setting on the My Company page, ensuring descriptions appear in emails.
How to Share Classes with Other Programs
Admins can share one or more Classes with other Programs. Classes cannot be shared with Classes within the SAME Program.
What Happens When a Class is Shared
What Happens When a Class is Shared
Sharing Classes means the following will happen:
A new Class is added to the Program the Class is shared with. This will duplicate the shared Class and contain its settings (Capacity, times, dates, Class description, reminder emails, etc.).
Capacity is SHARED between the two Class objects. For example, say you have a Class with a Capacity of 20, which is shared with another Program. The Capacity of that Class is still 20, even though it is in two Programs.
Enrollments in this Class will remain, but depending on which Program you view the Class from, the Enrollees will have a shared icon next to their name. This means that while they are in the Class, the current Program you are viewing is not the Program they enrolled in.
The new Class will inherit the Enrollment Model the shared Class is in. See the example below.
The Enrollment Model of the Program the Class is created in override settings at the Class level. For instance, you can create a Series Class within a Program with the Days-per-Week Enrollment Model, but on the enrollment form, the Enrollee will still pick the days of the week and not see the list of all Classes in the Series.
The new Class will also inherit the Pricing of the shared Class. See the example.
IMPORTANT: You cannot share a private Class with a public one, or the private Class will show up on the Enroll Form (even if a private link is used).
Follow these steps to share a Class:
Head over to the Class page and your list of Classes. Click on "Unshared" to share the Class.
A new window will open up with a list of Programs. The Class you are sharing will be at the top with a blanked-out checkmark. Check the Program(s) you wish to share that Class with and Save.
The Class will now say "Shared" and will show how many Programs in parentheses it is shared with. To "unshare," click "Shared," uncheck the boxes and Save.
Shared Class Example
Enrollment Model
For example, when a Class in a Program with a Simple Enrollment Model is shared with a Program that uses the Classes (or Days of Week) Enrollment Model, the Enroll Form and the Admin view of the shared Class will use that Program's set up to display the Class.
Pricing
In the same way, when a Class with a Simple model is shared with a Program with a Days-per-Week or Class model with pricing set per Class, the shared Class inherits that pricing structure.
This means that a Simple Enrollment model Class will have to enter pricing at the Class level if it is shared with another Class that uses the per Class pricing structure.
Below is a Class in a Program with Simple Pricing.
Below is an image of the same Class shared into a Program with Days of Week Pricing.
How to View Enrollees in a Shared Class
In Classes that are shared with another Class, the Enrollees in the shared Class will be grayed out, and a share icon will show up beside the enrolled date, as shown below:
Click on the shared icon to go to the Class that is being shared to find that Enrollee:
Go to this support article for how to reassign an Enrollee who is in a shared Class.
How to Unshare a Class
You have to be careful when unsharing a Class, as you don't want to unenroll any Enrollees unintentionally. Follow these steps to properly unshare a Class:
Go to the Class that you originally shared. Click the "Shared" button on the original Class.
Deselect the Class, or click "Deselect all" to deselect all Classes. Select "Save" to save the changes. If this is the original Class that was shared, you will be able to click "Save" and the Class will be unshared.
If this is NOT the original Class, you will get the following message saying you have enrollments in the Program you wish to unshare. If you get a notification like the one below, you are trying to unshare the wrong Class (the Class that is inheriting the characteristics of the Class being shared and NOT the Class that is being shared):
IMPORTANT: Click the "Back" button to cancel and go to the ORIGINAL Class that was shared. HINT: It will be one of the other Classes that show up in the Shared window. Go back to Steps 1-2 to unshare the original Class.
IMPORTANT NOTICE ABOUT CLICKING "CONTINUE"
If you click the "Continue" button here, you will UN-ENROLL all the listed enrollments! This CANNOT BE UNDONE!
If the Enrollee is not enrolled in another Class within the same Program, the Enrollee will be moved to the Unassigned List. If the Enrollee IS enrolled in another Class within the same Program, they will NOT show up on the Unassigned List and their enrollment will be removed.
