An Unassigned Enrollee is anyone enrolled in a Program but not yet placed in a specific Class. Unassigned Enrollees appear on the Unassigned List from the Classes page, and they directly affect Class capacity on both the Enroll Form and the Browse page.
How they affect capacity: The total number of Unassigned Enrollees in a Program counts toward each Class's capacity on the Browse page. Even a single Unassigned Enrollee is counted against every Class in that Program, because the system doesn't yet know which Class to assign them to.
Example: If a Program has four Unassigned Enrollees and a combined five open spots across its six Classes, the Browse page dropdown will show one opening — but all Classes will display as full, since any of those four Enrollees could fill any Class.
Simple Model Programs: If your Program uses the Simple Model (customers don't choose their own Class) and all Enrollees are placed on the Unassigned List, the total number of Unassigned Enrollees counts against the combined capacity of every Class in the Program.
If the number of Unassigned Enrollees meets or exceeds the total open spots across all Classes, every Class will show as full on both the Enroll Form and the Browse page until you assign the Enrollees.
View Unassigned Enrollees
Use these three steps to locate every Unassigned Enrollee in an Enrollment Period.
Step 1 - Choose an Enrollment Period
From the left menu, open the Classes page. In the top-left dropdown, select an Enrollment Period. A red badge with a number next to the Period name indicates how many Unassigned Enrollees it contains.
Step 2 - Check Programs
After choosing the correct Enrollment Period, when you click on a Program, the Classes within that Program are displayed on the right.
No Unassigned Enrollees
If there are NO Unassigned Enrollees, the blue circle with the white arrow and the arrow next to the word Unassigned will both be pointing to the right. This means the Unassigned section is collapsed or not visible. You can click either of the arrows to open it. See below for these arrows:
Unassigned Enrollees
If there is at least one Unassigned Enrollee in a Program, you’ll notice a red circle over the word Unassigned with the number of Unassigned Enrollees in it. You will also notice the circle with the white arrow will turn red.
Step 3- Open Unassigned List
Click on the (now) red circle with a white arrow to open the Unassigned List.
Add Enrollees to the Unassigned List
To add an Enrollee to the Unassigned List, click the Add button. Search by first or last name in the search bar.
When you click on the correct Enrollee's name, they will be added to Unassigned. Then you can assign them to a Class or re-enroll them in a different Program (see below).
Assign Enrollees to a Class (in the same Program)
Method A: From the Classes Page
Use this method to assign Unassigned Enrollees directly from the Unassigned List.
Open the Classes page and select the correct Enrollment Period.
Click the Program containing the Unassigned Enrollee(s), then open the Unassigned list.
Check the box next to each Enrollee you want to assign.
Click the Assign button.
In the dialog, choose the destination Class from the list. Only Classes within the current Program appear here.
Confirm to complete the assignment.
The Enrollee is moved off the Unassigned List and added to the selected Class. Class capacity counts update automatically on the Browse page and Enroll Form.
Method B: From the Enrollee's Page
Use this method when you're already viewing an Enrollee's profile, or when you need to add them to additional Classes inside the same Program.
Important: This method should only be used when the Enrollee's existing enrollment history does not need to be preserved. If you need to keep their history intact, use Method A or the Re-Enroll workflow.
Step 1 - Find the Enrollee
Search for the Enrollee in the top search bar and click their name to open their profile.
Step 2 - Edit Enrollment
On the Enrollment Card, click Actions → Edit Enrollment. In the window that opens, you'll see the current Class checked. From here you can:
Remove the Enrollee from their current Class by unchecking that box.
Add one or more Classes by checking the boxes next to each Class within the same Program.
Click Save to apply your changes.
Step 3 - Update the Payment Plan
After saving, Enrollsy will display this notice at the bottom of the screen:
"Enrollments successfully changed! Payment Plans NOT changed, navigate to the Billing tab to make any necessary changes."
This means the Payment Plan is still tied to the old Class. Open the Billing tab on the Enrollee's page and reassign the Payment Plan to the new Class — or to the Program — so billing continues correctly. For troubleshooting invalid Payment Plans, see How to Fix an Invalid Payment Plan.
Remove Enrollees from the Unassigned List
Remove an Enrollee from the Unassigned List by checking the box beside the Enrollee's name and selecting the Remove button. Here you can choose whether to Deactivate or Deactivate & Delete the selected ENROLLMENT.
Action | Class Assignment | Auto-Billing | Enrollment Status | Reversible? |
Deactivate | Removed | Turned off | Marked Inactive (visible via "Show Inactive") | Yes |
Deactivate & Delete | Removed | Turned off | Permanently deleted | No - but the Account and Enrollee remain |
Re-enroll Enrollees to a different Program
To re-enroll the Enrollee to a different Program, click the checkbox in the row by their name and then the Re-enroll button.
A window will open where you can select the new Enrollment Period and/or Program. Click Save Changes, then go to the new Program's Unassigned section to assign the Enrollee(s) to a Class.
Automatically Assign Enrollees (Single-Class Programs)
If you have a Program with only ONE Class in it, the system can automatically assign Enrollees to that Class at enrollment. Here are the steps on how to set this up:
Head to the My Company page
Scroll down to the Enroll Form heading.
Check the checkbox next to "Auto-assign enrollments" to assign all new enrollments into a Class if the Program selected only has one Class.
NOTE: The system will only assign enrollment into a Class if there is ONE Class in a Program. If there are multiple Classes, this will not happen.
