E-signature Documents — How They Work

Learn what E-signature Documents are, what they cost, and how to prepare, send and track them

Need legally binding signatures on handbooks, waivers or financial agreements? With E-signature Documents, you upload your own PDF, connect it to your Enroll Form and send it to Account Holders to sign on any device.

What an E-signature Document is

An E-signature Document is a PDF you provide. You upload it to Enrollsy and map it to your Enroll Form. Mapping means you drag fields onto the Document, then choose which Enroll Form answer fills each field.

After mapping is done:

  • The Document goes to Account Holders to sign on a desktop, tablet or phone

  • The signed copy is saved to the Account Holder's and Enrollee's accounts on the admin side

Legally binding signatures — powered by Dropbox Sign

Enrollsy partners with Dropbox Sign (formerly HelloSign) for e-signatures. E-signatures from Dropbox Sign are legally binding under the ESIGN Act of 2000 and carry the same legal standing as pen and paper. Every signature request includes a time-stamped audit trail that can't be edited, so each action is tracked.

Common uses

E-signature Documents work for any Document that needs a legally binding signature, such as:

  • Handbooks

  • Enrollment packets

  • Welcome packets

  • Policies

  • Waivers

  • Releases

E-signature is a feature that has to be unlocked, and it costs $2.50 per signature request.

A signature request is counted each time a Document is sent out for signature. It counts as one request whether it ends up fully signed, partly signed or unsigned.

Before you create an E-signature Document

Prepare your PDF

  • Keep the Document general and leave out details that change, like years, dates, amounts and names

  • Collect specific details on the Enroll Form instead

  • Convert Word documents to PDF with a free tool such as ilovepdf.com

Decide how many signers you need

Choose one signer or several before you create the Document. You can't add signers later. For setup steps, see How to Add Multiple Signers to an E-signature Document.

Track signatures and send reminders

Automatic reminders

If a Document stays unsigned, Enrollsy sends a reminder email after 3 days and again after 7 days. After that, no more automatic reminders are sent.

Send a manual reminder

  • Go to the Documents tab

  • Hover over the Document

  • Click Remind

Common issues after sending

Wrong email address or delivery error

  • Go to the Documents tab

  • Hover over the Document and click the edit icon

  • Check the signer's email address, then update it and resend if it's wrong

Signing deadlines — what you can and can't require

You can require customers to sign by a certain date, but Enrollsy can't enforce the deadline for you. What happens when a Document isn't signed on time is up to your company's policy.

Ways other providers encourage customers to sign on time:

  • Send manual reminders from the Documents tab

  • Confirm the signer's email address is correct

  • Tell customers by email or text what happens if they don't sign by a set date, for example that their reserved spot will be released or non-refundable payments will be forfeited
