If you regularly run the same reports or work with the same column layouts on the Enrollees Table, Saved Views let you store those configurations and reload them with a single click. This guide walks you through creating a Saved View, loading it later, editing it as your needs change, and removing it when you no longer need it.
A View is the combination of column choices and filters you apply to the Enrollees Table to display the data you want to review, download, or act on. A Saved View stores that exact combination — the columns you've shown or hidden, the order you've arranged them in, and any filters you've applied — so you can return to it instantly without rebuilding it each time.
Saved Views are especially useful for Admins who run multiple types of reports regularly or who frequently switch between different filter sets (for example, "Unpaid Balances," "Waitlist by Class," or "Email Marketing List").
Note: If your account has renamed Enrollee to Participant or Student, look for that label in the left sidebar to find the Table referenced throughout this article.
Before You Begin: Locating the Enrollee Table
Saved Views live on the Enrollments area of the Enrollees Table. The table has three areas you can switch between — Enrollments, Accounts, and Enrollees — but the Views, Columns, and Filters buttons (and therefore Saved Views) are only available in the Enrollments view. You'll find these three buttons aligned to the upper-left of the table.
Create a Saved View
Watch the short walkthrough below, or follow the written steps.
To create a Saved View, follow these three steps:
Step 1 — Set your columns. Click the Columns button, then use Show / Hide and Reorder to choose and arrange the data columns you want in your view. Click Done when finished.
Note: You can currently select up to 30 columns simultaneously.
Step 2 — Apply your filters. Click the Filter button and enter the values you want to filter by (for example, Photo, Participant, Age, Enrolled status, Tags, Physician/Family Doctor, and so on). Click Apply.
You can use columns only, filters only, or both — any modification to the dataset will create a View that can be saved.
Step 3 — Save the view. Click the Views button, then click Save View at the bottom of the drawer that slides out. Give your view a descriptive name (for example, "Summer Camp Waitlist") and click Save.
Use a Saved View
You can create as many Saved Views as you need. To load one, click the Views button and select the Saved View you want from the list. The table will immediately update with the saved columns and filters.
Edit a Saved View
To change the columns or filters on an existing view, head to the Enrollees Table and follow these steps.
Step 1 — Select the view you want to edit so its current columns and filters load into the table.
Step 2 — Add or remove columns (and/or adjust filters) using the Columns and Filters buttons. Click Done when finished.
Step 3 — Re-save the view. Click Views, then Save View, and either confirm the existing name or rename it.
Rename or Delete a Saved View
When a Saved View is no longer needed, or you want a clearer name for it, open the Views drawer and click the three-dot menu to the right of the view's name. You'll see two options:
Rename — update the name without touching the underlying columns or filters.
Delete — permanently remove the Saved View from this browser.
Share a Saved View
Saved Views don't have to stay locked to your own browser — you can share any view you've built with the rest of your company or with specific teammates. Sharing is especially useful when you've spent time crafting the perfect column layout and filter set for a recurring task (like a weekly attendance report or an email list) and want others on your team to use the exact same configuration without having to rebuild it themselves.
To share a Saved View, follow these steps.
Step 1 — Open the view's menu. In the Views drawer, click the three-dot menu to the right of the view you want to share, then select Share.
Step 2 — Choose who can access the view. A Share "[View Name]" dialog will open, giving you two ways to share:
Make company-wide — toggle this on to give everyone in your company access to the view. This is the fastest option when the view is broadly useful (for example, "Active Enrollments" or "Email Marketing List").
Share with specific people — click this link to expand a list of your company's admins, then check the box next to each person you want to share the view with. Use this when the view is relevant to only certain roles or teammates (for example, sharing a billing-focused view with just your finance admins).
Once you've made your selection, the people you've shared with will see the view in their own Views drawer the next time they open the Enrollees Table.
Check Who a Saved View Is Shared With
After you've shared a Saved View, you may want to confirm exactly who currently has access — for example, before adding new teammates, removing someone who's changed roles, or switching a view from "specific people" to company-wide. There are two quick ways to check.
Option 1 — Reopen the Share dialog (most detail).
In the Views drawer, click the three-dot menu next to the view, then click Share again. The Share "[View Name]" dialog will show the view's current state: whether Make company-wide is toggled on, and — under Share with specific people — the chips listing each individual the view is shared with.
From here you can also adjust access on the spot: click the × on a person's chip to remove them, use the dropdown to add more people, or toggle Make company-wide on or off. Click Save to apply your changes.
Option 2 — Check the icon next to the view name (at-a-glance).
You can tell how a Saved View is shared without opening any menus by looking at the small icon beside the view's name in the Views drawer:
A company/building icon means the view is shared company-wide. Hovering over it shows a tooltip such as "Company-wide — you own this view" (when you're the view's owner) confirming the share status and your ownership.
A people icon means the view is shared with specific individuals. Hovering over it shows a tooltip such as "Shared with 2 people," giving you a quick count without opening the dialog.
No icon means the view is private to your browser and hasn't been shared.

Delete or Edit the Shared Saved View
Only the owner of a Saved View — the admin who originally created and shared it — can edit or delete the shared version. If someone else shared a view with you, you can use it freely, but you cannot rename it, change its filters or columns, adjust who it's shared with, or delete the original. Use the path below that matches your situation.
If you're the owner of the view
You have full control over both the contents of the view and who can see it. From the Views drawer, click the three-dot menu next to the view, then choose one of the following:
Share — reopen the Share dialog to add or remove people, or toggle Make company-wide on or off. Click × on any chip under Share with specific people to revoke that person's access, then click Save.
Rename — update the view's name. The new name will appear for everyone you've shared it with.
Delete — permanently remove the view from your browser and from every teammate it was shared with. This action can't be undone, so confirm before proceeding.
To edit the columns or filters of a shared view you own, load the view first, make your changes using the Columns and Filters buttons, then re-save it (see Edit a Saved View above). Your updates will flow through to everyone who has the view.
If a teammate shared the view with you
You can load the view and use its columns and filters anytime, but you cannot make any changes to it. Specifically:
You can't rename the view.
You can't change the columns or filters and re-save them onto the shared view.
You can't add or remove people from the share list.
You can't delete the shared version from yours or anyone else's account.
You can see if the view was shared company-wide or with specific users by hovering over the icons beside the Saved View label.

If you need the view modified (deleted, renamed, updated filters/columns, or shared with additional people), reach out to the owner and ask them to make the change from their account.
Tip: If you want to use a shared view as a starting point for your own customized version, load the shared view, adjust the columns and filters to your liking, then save it as a new Saved View with its own name. Your version will be stored locally in your browser and is fully editable by you.
