How to Use the Enrollees Table

A breakdown of every icon, view, and setting on the Enrollees table

The Enrollees table has a lot of uses, which can feel overwhelming. Open it by clicking Enrollees (or whatever you've renamed it, such as "Students") in the left menu. This article breaks the table down into smaller pieces so you can get the most out of Enrollsy.

Locations — Filter the Table by Location

The first and most important control is in the top-right corner: Location(s). If your account has more than one location, the table's information changes based on which location you select.

Enrollment Periods — Track Enrollments by Year

The second key control is in the top-left corner: Enrollment Period. Enrollment Periods let you separate and track enrollments by year. The table's information changes based on the period you select. To see everything at once, choose All Enrollment Periods. See the support article About Enrollment Periods for more detailed information.

Total Enrollments, Accounts, and Enrollees — Reading the Numbers

At the top of the page, three numbers show your totals: Enrollments, Accounts, and Enrollees. Each number shows the count for your selected location and enrollment period, along with the total across all enrollment periods for that location in parentheses.

For example, for the Open Enrollments period at the Alpine location:

  • Total of 147 active Enrollments

  • Total of 125 active Accounts (out of 151 active and inactive Accounts across all periods at that location)

  • Total of 125 active Enrollees (out of 152 active and inactive Enrollees across all periods at that location)

Select All Enrollment Periods to see totals across every period. If a number seems too low, the missing accounts or enrollees are likely inactive (see the Inactive Switch section below) or don't have an active enrollment yet (see the Accounts View and Enrollees View sections below).

Inactive Switch — View Inactive Records

In the top-right corner of the table, a switch labeled Inactive lets you see inactive records. This works the same way on the Enrollments, Accounts, and Enrollees views — toggle it on to see inactive Enrollments, Accounts, or Enrollees.

Enrollments View — Columns, Filters, and Saved Views

Selecting the Enrollments view lets you choose which columns to display, filter those columns, and save your setup for later. Select a specific location, or All Locations, in the top-right corner.

Views Icon — Save and Reload Column Setups

A "view" is a saved collection of settings you can reuse. Select Views to see any saved views, or click Save View to save your current columns, filters, and sort order. See this article for more detail: How to Create Saved Views on the Enrollee Table.

Columns Icon — Customize What You See

Select Columns on the right side of the table to fully customize which columns display. See this article for more detail: How to Find & Sort Enrollees in the Enrollees Table.

Filter Icon — Narrow Down Your Results

Select Filters to filter by any field on your Enroll Form, including Program Forms. You can filter using any of the columns you've chosen to display. See this article for more detail: How to Filter & Sort Enrollees on the Enrollee Table.

Active filters appear in gray next to the Filters button. Click the "x" on a filter to remove it.

Bulk Actions — Tags, Transactions, Export, Print, Text, and Email

Select one or more enrollments using the checkboxes on the left to reveal a new icon menu in the top-right corner:

  • Bulk Tags — add or remove tags in bulk

  • Bulk Transactions — post invoices, credits, or payments to the selected enrollments

  • Export — download the current columns, or all data, for the selected enrollees

  • Print — print the current columns for the selected enrollees

  • SMS Text — text the selected enrollees' primary and/or secondary account holders

  • Copy Emails — copy the email addresses of the selected enrollees' primary and/or secondary account holders

Select All and Rows Per Page — Viewing More Records

The table only scrolls through the number of rows currently shown.

At the bottom of the page, use Rows per page to choose 50, 150, or 300 rows, or use Select All [#] to select every enrollment shown.

Accounts View — Account Details and Bulk Actions

Select a specific location, or All Locations, then choose an enrollment period, or All Enrollment Periods.

The Accounts view displays:Account Tags

  • Account Tags

  • Primary Account Holder's first and last name

  • Primary Account Holder's email address

  • Primary Account Holder's cell phone and work phone (if applicable)

  • Status of account (active or inactive)

  • Payment Method on file

  • Balance on Account

  • Notes (Account internal notes)

Select accounts using the checkboxes on the left to reveal bulk actions:

  • Bulk Tags — add or remove tags in bulk

  • Export — download the current columns, or all data, for the selected accounts

  • Print — print the current columns for the selected accounts

  • SMS Text — text the selected accounts' primary and/or secondary account holders

Accounts with No Enrollments — Finding Accounts Without an Enrollment

Click Accounts with no Enrollments on the right to see accounts that aren't tied to an active enrollment.

A new window lists primary account holders with no enrollments. Click a name to go straight to that account.

Enrollees View — Enrollee Details and Bulk Actions

Select a specific location, or All Locations, then choose an enrollment period, or All Enrollment Periods.

The Enrollees view displays:

  • Enrollee Tags

  • Photo

  • First and Last name

  • Gender

  • Birthdate

  • Age

  • Notes (internal notes on the Enrollee's page)

Select enrollees using the checkboxes on the left to reveal bulk actions:

  • Bulk Tags — add or remove tags in bulk

  • Export — download the current columns for the selected enrollees

Enrollees with No Enrollments — Finding Enrollees Without an Enrollment

Click Enrollees with no Enrollments on the right to see enrollees who aren't tied to an active enrollment.
