Finding the Accounts that paid in full for a certain Location is useful for tracking payment activity. Below are two ways to locate these accounts: the Invoices Report and the Enrollees Table.
Invoices Report — Finding Paid-in-Full Accounts
One way to see which accounts paid in full is through a report built from the Invoices page. Follow these steps:
Go to the Invoices page and select the Paid Invoices tab.
Make sure you have the correct Location selected.
Select all the invoices. To select every invoice for that Location, scroll to the bottom of the screen and click Select All.
Click the Export button to download the CSV file.
NOTE: If the Export button is inactive, you haven't selected any accounts on the left. Select the accounts and the button will become active.
On the CSV file, sort by Payment Plans. This shows all invoices not attached to a Payment Plan, which includes the pay-in-full option. When someone selects a pay-in-full option at enrollment, that invoice won't have a Payment Plan attached to it. You can then run a quick equation in Excel to total those invoices.
Enrollees Table — Finding Accounts Without a Payment Plan
You can also use the Enrollees Table (or whatever you call students in your account) to see who does not have a Payment Plan. Go to the Enrollee Table page and follow these steps:
Click Columns to open a drawer that lets you manage columns and column order.
The default tab is Show/Hide when the drawer opens. You can show or hide four categories of fields using the Select All checkbox, or by selecting them one at a time. Under the Enrollment category, select one or both options for Payment Plan Type and Payment Plan Name.
Filter by Payment Plan Type. If the Payment Plan Type is None, there is no Payment Plan attached to the enrollment or class. None can mean the enrollment was paid in full, though it can also mean the enrollment was free, an Admin deleted a Payment Plan after enrollment, or an Admin re-enrolled someone without adding a new Payment Plan. Filter the table for Payment Plan Types that are None.
Export the table to a CSV by selecting the enrollments on the left, then clicking the Export icon.
