Supporting Divorced or Separated Account Holders

Choose the best way to give two Account Holders access to the same Enrollees, enrollments, and payments

When divorced or separated parents share one Enrollsy account, you can set things up in a few ways. Use the options below to decide which setup fits the family. Then follow the steps for that option.

Compare the Options

  • Option 1 — Secondary Account Holder access: Both parents log in to the same account with their own email and password. Best when the parents trust each other with full access.

  • Option 2 — Multiple payers on one account: One account, with enrollment fees split between payment methods. Best when parents just need to share costs.

  • Option 3 — Separate accounts: Each parent has their own account with their own Enrollees and enrollments. Best when parents need separate access and separate billing.

  • Option 4 — Separate accounts in a dedicated Enrollment Period or Program: The same as Option 3, but set up so duplicate Enrollees don't appear twice on rosters or in check-in/out. Best if you use Rosters or the Check In/Out Activity.

Option 1 — Give Access to a Secondary Account Holder

The Primary Account Holder can [grant access to a Secondary Account Holder](link to existing article) using the Secondary Account Holder's email address. Both Account Holders then have their own login to the same account, so they don't need to share passwords.

Before you set this up, keep these requirements in mind:

  • Each Account Holder must use a different email address

  • Secondary Account Holders don't get an email to set up their access automatically

  • Secondary Account Holders can't contact Enrollsy support directly. They should contact your organization's admin, or use the Support Center and Customer Portal videos

To set a password, the Secondary Account Holder goes to your organization's sign-in page, clicks Forgot Password, and follows the prompts.

NOTE: Only give access to a Secondary Account Holder you trust. They get full access to the account, including saved payment methods, and they can make changes.

Option 2 — Add a Second Payer to the Account

Enrollsy supports multiple payers on one account. Each payer can cover part of the enrollment fees. Only an admin can add payers, because Account Holders can't add them on their own.

After a payer is added, you can collect from them in either of these ways:

  • Add the payer to Auto-Pay (only if the account is already on Auto-Pay)

  • Charge the payer's payment method manually as an admin

Option 3 — Create a Separate Account

With this option, the second parent gets their own account, and you move or duplicate Enrollees and their enrollments into it.

Step 1 — Create the New Account

Create a new account for the second parent using the New Account tab on the enroll form page.

NOTE: The second parent's email address must be changed or removed on the original account. Neither parent can log in if the same email address is used on more than one account.

Step 2 — Decide Which Enrollees Go on Each Account

How you split Enrollees depends on how many the family has:

  • One Enrollee: Duplicate the Enrollee and their enrollments into the new account. The Enrollee will appear in the class twice, so it will show up twice on rosters. Admins may also need to check in or out the duplicate Enrollee for each enrollment. To avoid this, use Option 4.

  • Two Enrollees: Put one Enrollee on each account. This usually works best when parents split costs evenly.

  • Three or more Enrollees: The parents or an admin choose which Enrollees and enrollments go on each account.

Step 3 — Move Enrollees and Enrollments

  1. Enroll the Enrollee in the new account, or have the parent enroll them while logged in with their own email address. If the parent already paid a fee due at enrollment, give them a coupon code to cover it.

  2. If you're moving the Enrollee and not duplicating them, [delete the Enrollee](link to existing article) from the original account. This also deletes their enrollments on that account.

Step 4 — Set Up Payment Plans Again

Payment Plans don't move with the enrollments. An admin needs to set them up again on the new account by hand. You can use one Payment Plan for all enrollments (a Program Payment Plan) or one Payment Plan per class.

Step 5 — Move Transactions and Invoices

Our team can move an Enrollee and their transactions to the new account. Account-level invoices stay on the original account. To request this, send us a message through the chat bubble in Enrollsy.

Option 4 — Use a Separate Enrollment Period or Program

This option works like Option 3, but you enroll duplicate Enrollees in a separate Enrollment Period (EP) or Program. This keeps Enrollees from appearing in the same class twice, which helps if you use Rosters or the Check In/Out Activity.

  1. Duplicate the Enrollment Period or Program the Enrollee is in, and give it a clear name like Separated Account Holders

  2. Create the new parent account (see Option 3, Step 1)

  3. Enroll the Enrollee in the duplicated EP or Program from the new account

  4. Set up Payment Plans and move transactions as needed (see Option 3, Steps 4 and 5)
