Reactivating Archived Enrollments: Unarchiving Programs and Enrollment Periods

Follow these steps to unarchive Programs or Enrollment Periods, restore portal access, and resolve any canceled payments

If an enrollment will not reactivate, the parent Program or Enrollment Period is likely archived. Archiving a Program or Enrollment Period automatically archives every enrollment inside it (visible on the Enrollee's page under the Archived tab). To restore those enrollments, unarchive the Program or Enrollment Period.

Unarchive a Program

  1. Go to the Classes tab and open the Archived view.

  2. Click the three-dot menu beside the Program you want to restore.

  3. Select Unarchive, then confirm by clicking Yes.

  4. The Program returns to the Current tab.

Tip — Bulk unarchive: Select multiple Programs, then click the bulk unarchive icon in the top right.

Unarchive an Enrollment Period

To unarchive an Enrollment Period, follow these steps:

  1. Go to the Classes page and click the down arrow beside the Enrollment Periods.

  2. Click the Archived Tab at the top.

  3. Click the cogwheel of the Enrollment Period you wish to unarchive. A new menu will appear.

  4. Click the unbox icon (tooltip: Unarchive this Enrollment Period). The Enrollment Period moves back to the Current section.

What Happens After You Unarchive

Once the Program or Enrollment Period is unarchived, the enrollment will become current again and can be activated or deactivated by clicking the deactivate switch on the Enrollee's page.

The Program reappears on the Enroll Form (unless its end date has passed, it's a private Program, or the Program/Class dates are in the past).

The Enrollment Period (if published) reappears on the Enroll Form.

Customers and Instructors regain access in the Customer Portal and Instructor Portal.

The Enrollment Period becomes viewable in the Customer Portal and Instructor Portal.

Classes within the Program will be accessible on the Classes page.

Resolve Canceled Payments

If payments were canceled — either because an Enrollment Period was archived or because the original due date passed — use one of the two approaches below to restore billing.

Option 1 — Update existing payment plans

  • Unarchive the affected Enrollment Period (if it was archived).

  • Adjust each payment plan to include a new payment event date.

  • This regenerates the invoice and allows auto-pay to process correctly.

Option 2 — Invoice directly

  • Manually generate a new invoice for each account with an outstanding balance.

  • Make sure the new invoice has a valid due date that aligns with your invoicing timing settings (required for same-day processing or auto-pay).

Note: Once the original due date has passed, auto-pay will only run on freshly generated invoices that meet your system's date and timing criteria. Reusing the original invoice will not trigger auto-pay.

Key Considerations

  • Archiving is a reversible action, but all missed payment events require manual intervention to restore proper invoicing and payment schedules.

  • Ensure the new due dates comply with your invoicing system’s timing constraints if auto-pay is being used.

Next Steps: Once the enrollment is current again, you can edit class assignments, payment plans, or re-send the welcome email from the Enrollee's page.
