If you no longer need to see old enrollments in your day-to-day views — and all related payments have been collected — Enrollsy gives you three ways to hide them. Each option has different consequences for billing, reporting, and what enrollees and instructors can see, so choose based on how broadly you want to hide records:
Archive a Program — hides every enrollment tied to an entire Program.
Archive an Enrollment Period — hides enrollments for a specific term or session.
Deactivate Enrollments — hides enrollments for individual Enrollees or a single Class.
Which Should I Choose?
Use Archive Program when a Program is fully retired.
Use Archive Enrollment Period when a term has ended but the Program continues.
Use Deactivate when only specific enrollees or a single Class need to be hidden.

Archive a Program
What it does: Hides an entire program — and every Class and enrollment inside it — from active views across Enrollsy.
What happens when you archive a Program:
The Program is removed from the Enroll Form
The Program is removed from the Customer Portal and the Instructor Portal
All Classes within the Program become inaccessible on the Classes page
Any future Class reminders are canceled
Any future Invoice and payment events are canceled
Historical enrollment data is preserved
How to archive a Program:
How to reverse it: Return to the Programs page, locate the archived Program in your archived list, and restore it from the same menu.
Archive an Enrollment Period
What it does: Hides a specific term or session of a Program (for example, "Fall 2025") while keeping the Program itself active for current and future enrollments.
What happens when you archive an Enrollment Period:
The Enrollment Period is removed from the Enroll Form
It is removed from the Customer Portal and the Instructor Portal
Any future Class reminders are canceled
Any future invoice and payment events are canceled
Historical enrollment data is preserved
How to archive an Enrollment Period:
Go to the Classes tab, or navigate to My Company > Programs.
Click the down arrow beside Enrollment Periods.
Click the cogwheel beside the Enrollment Period you want to archive.
In the menu that appears, select the box icon (hover to confirm the tooltip reads "Archive this Enrollment Period").
How to reverse it: Open the same Enrollment Periods menu, locate the archived period, and unarchive it from the cogwheel options.
Deactivate Enrollments
What it does: Hides individual enrollments — either one enrollee at a time or in bulk by Class — without affecting the parent Program or Enrollment Period.
What happens when you deactivate an enrollment:
The enrollee is removed from their Class
The enrollment becomes inactive
Auto-billing is turned off, so new invoices will not be generated
Any payment plans attached to the enrollment are removed (no future payment events will be added)
What deactivation does NOT do:
It does not make the account inactive
It does not zero out the account balance
It does not remove any data permanently
It does not turn off auto-pay — if unpaid invoices remain and auto-pay is on, it will still attempt to collect on them
How to deactivate an enrollment — by individual account:
Use the search bar at the top of Enrollsy to find the enrollee.
Open the enrollee's Name tab (not the Billing tab).
Scroll to the Enrollments section, find the Program they are withdrawing from, and flip the switch to deactivate.
How to deactivate enrollments — by Class (bulk method):
Go to the Classes page and open the Class with enrollees you want to remove.
Select the enrollees and click Reassign to move them to the Unassigned list.
In the Unassigned list, select the enrollees you want to deactivate and click Remove.

How to reverse it: To reactivate an enrollment later, return to the enrollee's Name tab and switch the toggle back on. NOTE: If you chose Deactivate and Delete, the enrollment cannot be reactivated — you'll need to re-enroll the person.
