Enrollment Reports — Find the Right Report for Your Data

A quick guide to the enrollment reports available in Enrollsy and when to use each one

Looking for a report that shows how many enrollments you've had, when they happened, or how enrollment trends are shifting? Use the guide below to find the right report for your needs.

Enrollment Reports Chart

The table below lists common report requests from Enrollsy customers, along with the report that best fits each one. See examples of Custom Reports for more detail.

Information Needed

Report(s) to Use

Active enrollments

Custom Report (filter by enrolled on date), Invoices Report/Paid Invoices (during a time period), or Accounts Report (unlockable feature showing all accounts, active and inactive)

Inactive enrollments or accounts

Custom Report (turn on the Inactive switch) or Accounts Report (unlockable feature showing all accounts, active and inactive)

All enrollments within a specified time period

Enrollment Dashboard overview of enrollments over the last 7, 30, and 90 days) or Custom Report (Enrollments tab, filter by enrolled on date)

Enrollee information by Enrollment Period

All Class Lists (lists each Class and its Enrollees, including Class name, Class time, Instructor name, number of Enrollees, and Class capacity)

How many Enrollees enrolled in each Program or Class

Custom Report (filter by Program name or Class name) or Capacities Report (total capacity by Program or Class)

Reports on Enroll Form or Program Form questions, such as T-shirt sizes or ID

Custom Report (filter by enroll form or Program form question)

Total number of Enrollees by Location, Program, or Class

Enrollee Withdrawal

Class List by Enrollment Period

All Class Lists (lists each Class and its Enrollees, including Class time, Instructor name, number of Enrollees, and Class capacity) or Custom Report (Enrollees tab; includes name, photo, gender, birthdate, age, and internal notes)

Daily check-in and check-out for Enrollee attendance

Activities Report (only if you use check-in/check-out or present/absent Activities for attendance)

Instructor attendance

Activities Report (only if you use Instructor check-in/check-out through a kiosk) or Timesheet Export (only if you use Instructor check-in/check-out through a kiosk; includes hours in decimal form)

New accounts not enrolled before a certain Enrollment period

No report available; workaround: Custom Report (filter by enrolled on date)

Waitlist enrollment for all Programs or Classes

No report available; workaround: Waitlist export per Program or Class

This report shows your enrollments over rolling 7-day, 30-day, and 90-day periods. Select Go to Enrollees (or whatever term your account uses for enrolled individuals) in any chart to open a filtered view of your Enrollees table.

Report 2: Enrollees Table

The top of the Enrollees Table shows a dashboard with the total number of Enrollments, Accounts, and Enrollees for your current search criteria.

You can change the results in a few ways:

  • Select a different Enrollment Period, or All Enrollment Periods

  • Use the filter button to filter by Program, Class, date range, and more

  • Turn on the Inactive switch, in the top right of the page, to see only inactive enrollments

Report 3: People Page

The People page shows all enrollments and can be sorted and filtered. You can change the results in a few ways:

  • Select one or more Locations and/or Enrollment Periods as columns or filters

  • Filter by specific Programs and/or Classes

  • Filter by enrolled-on date

  • Filter by active and/or inactive Enrollments

Report 4: Ratios Page

The Ratios page doesn't show a total enrollment count across every Program or Class, but it does give you a clear view of active enrollments and their Classes on a single page. If your account doesn't have the Ratios page and you'd like it added, contact Enrollsy through the chat bubble in the admin platform.

Downloading a Full List of Enrollees or Enrollments

You have a few options, depending on what you need:

  • Enrollees Table — select the columns you want, such as name and email address, select all rows, then download as a CSV or print directly

  • All Class Lists — on the Reports page, select All Class Lists to print a Class list with Enrollee counts and Class details (this report can currently only be printed, not exported to Excel or CSV)

  • Custom Roster Report — on the Reports page, select All Rosters or Custom Roster to filter by Location, Enrollment Period, and Tags, then print or export the result

  • Capacities Report — on the Dashboard, open the Capacities tab, select By Class, then select the export icon to download the data

All of these reports can be printed as PDFs or sent directly to your printer. Depending on what you need, one option may work better than another — for example, All Class Lists is a good fit if you want to see Enrollees and their specific enrollments together in one view.
