Reconciling your bank deposits confirms that every credit card and ACH payment collected in Enrollsy has reached your bank account. You’ll use the Transactions report in Enrollsy and compare it with your bank statement.
How Long Deposits Take
Payments don’t reach your bank on the day they’re made, so a deposit usually includes payments from a few days earlier.
Credit card payments reach your bank in about 2 business days. They settle in about 1 business day, and the payout arrives the next business day (sometimes the same day).
ACH payments reach your bank in 3–5 business days. They settle in 2–3 business days, and show as pending during that time. The deposit arrives 1–2 business days later.
How Deposits Appear on Your Bank Statement
Credit card deposits show as EMPS DEPOSIT, FRST BK MRCH SVC DEPOSIT, or Firstbank Deposit, depending on your bank.
Credit card fees are withdrawn separately from deposits. They show as DISCOUNT (processing fees) or FEE (other fees, such as a monthly service fee).
ACH deposits and fees show as ACHQ.
Reconcile Your Deposits
Follow these four steps to reconcile your deposits. You’ll run the Transactions report for your statement period, review the daily credit card and ACH totals, export the report to a spreadsheet, and then match the transactions to each deposit on your bank statement.
Step 1 — Run the Transactions Report
Go to Reports → Transactions.
If you have more than one location, choose All Locations or a specific location in the upper-right corner.
Enter the date range covered by your bank statement, then click Submit. Start the range a few days earlier so you capture payments that were deposited during the statement period.
Step 2 — Review Credit Card and ACH Totals
The report shows each day’s totals in separate columns by payment type.
Use the Credit Card and ACH columns to see the daily totals for each payment type.
Click the down arrow beside a total to see the individual transactions that make it up.
Step 3 — Export the Report
Click the export button (cloud icon with a down arrow) at the top of the report to download a CSV file.
Open the file in Excel, Google Sheets, or another spreadsheet program.
Sort or filter by the Payment Type column to separate credit card and ACH payments.
Check the ACH Status column for payments that are pending or rejected.
For more about this report, see Viewing and Exporting Transactions.
Step 4 — Match Transactions to Your Deposits
Start with the most recent deposit on your bank statement and work backward.
Find the transactions that add up to the most recent deposit, then move to the deposit before it.
Reconcile credit card and ACH payments separately, since they’re deposited on different schedules.
Leave out DISCOUNT and FEE withdrawals when matching credit card deposits.
Leave out ACH payments that are still pending or were rejected, since they aren’t part of a deposit. See Failed ACH Payments for more.
If a deposit doesn’t match, check the transactions just before your date range.
Look Up Credit Card Transactions by Day or Batch
You can use either of these portals to see credit card activity in more detail. If you have EnrollsyPay (not CardConnect or Stripe), the following are where you can access credit card transactions.
Nuvei is your merchant account for credit cards. It shows your deposits, settlement reports, and statements. To get access or add a user, email us-support@tillpayments.com with each person’s full name, email address, time zone, and your Merchant ID (MID).
NMI is your payment gateway. It lists credit card transactions for each day or batch, which makes it easier to match individual deposits. If you don’t have access, contact us and we’ll add you as a user.
