How to Send an Invoice to a Customer

Email or text an invoice so a customer can view and pay it

Written by Serena Edwards

Enrollsy automatically sends invoice reminders, but sometimes you'll want to send an invoice to a customer yourself. You can email a copy of an invoice that's already been created, send an email and text notification automatically when you create a new invoice, or text a customer a link to pay in the Customer Portal. This article walks through all three options.

Send an Already Created Invoice

If the invoice has already been generated, either automatically or manually, follow these steps to find it and email it to the account holder as a PDF.

  1. Locate the invoice on the customer's billing page or on the Invoices page. If you need help finding a specific invoice, see How to View or Edit Invoices. Once you've found it, open the invoice by selecting Edit.

  2. Click the printer icon, then select Print Statement.

  3. Choose the date range for the transactions you want included on the invoice, then select Load, followed by Print.

  4. In the print window, set Destination or Printer to Save as PDF (or whichever PDF option is available), then select Save and choose where to save the file. Name it using the customer's name and the invoice date so it's easy to find later.

  5. Attach the saved PDF to an email using your email provider (Gmail, Yahoo, Outlook, etc.) and send it to the customer.

Send a New Invoice

When you're creating a new invoice rather than sending one that already exists, you don't need to find or print it — Enrollsy can notify the customer automatically.

  1. Reference How to Create an Invoice as you build the new invoice.

  2. On the creation screen, choose to send an email and/or SMS message to the primary account holder. The message includes the invoice number, payment amount, due date, and a link for the customer to sign in and pay.

You can also skip email/SMS at creation and instead see How Admin Users Send and View Text Messages to Customers to text the account holder directly at any time, with instructions for viewing and paying the invoice in the Customer Portal.

How Customers View and Pay Invoices

Whether you emailed a PDF, sent an automatic notification, or texted a link, the customer views and pays the invoice the same way: in the Customer Portal. You can share How to Make a Payment in the Customer Portal with customers for step-by-step payment instructions.
