How to Create and Edit Future Invoices

Add invoices to an account that are due at a future date by creating or editing a payment plan

Any invoice added under Create Invoice appears under Current Invoices, even if its due date is in the future. To have one or more invoices appear under Future Invoices, you must add or edit them through a payment plan. This article covers how to add a new payment plan to an account and how to edit an existing one.

Adding a New Payment Plan

If an account doesn't have a payment plan with future payment events, follow these steps to add one.

Step 1 — Open the Payment Plan Menu

On the Enrollee's Billing page, scroll down under Tuition/Active Enrollments to the Future Invoices and Payment Plans card. If the account already has at least one payment plan, select the + Payment Plan button at the top of the card.

If the account has no payment plan yet, the + Payment Plan button appears in the middle of the card instead.

Step 2 — Choose a Payment Plan Level

Program-Level Payment Plans

Program-level payment plans include pricing for all classes enrolled under that program. Adding a payment plan at the program level sets the Class field to None on the enrollment card, since the plan is attached to the program rather than the class.

NOTE: Program-level payment plans don't report financial information at the class level. If you need payment or invoice reporting by class, use a class-level payment plan instead.

Class-Level Payment Plans

When a payment plan is attached to a class, the class name appears on the plan. Use class-level payment plans if you need payment or invoice reports broken out by class.

Step 3 — Select or Create a Payment Plan

Choose an existing payment plan or create a new one.

Step 4 — Add Charge Items

After setting up the payment events, add the charge items (such as Tuition or Registration) by selecting Add/Remove Charge Item.

Select Reuse to copy the exact amount to all remaining scheduled payment events. In the example below, $150 is copied onto 38 additional payment events.

Editing an Existing Payment Plan

If an account already has a payment plan and you need to add future invoices, edit the plan instead of creating a new one.

Opening a Payment Plan to Edit

On the Enrollee's Billing page, scroll down under Tuition/Active Enrollments to the Future Invoices and Payment Plans card, and select Edit.

NOTE: If the account has more than one payment plan, a stepper appears at the top (for example, 1/2) so you can scroll between plans. Confirm you're on the correct plan before editing it.

Once you're on the correct plan, choose whether you need to update the pricing on upcoming payment events or update the payment events themselves, and follow the matching section below.

Editing Future Payments

Use this section to change the amount charged on upcoming payment events without changing when they're due.

Step 1 — Enter New Pricing

Enter the new pricing in the first field. To apply the exact same amount to every remaining payment event, select Reuse.

Step 2 — Enter Different Amounts (Optional)

If you need to enter a different amount for each event, scroll through them using the stepper at the top.

Select Save to apply your changes.

Editing Payment Events

Use this section to change the payment plan itself, including its name, type, or schedule.

Step 1 — Customize the Payment Plan

Select Change, then Customize this payment plan, to update any of the following:

  • The payment plan name

  • The payment plan type (Scheduled, Installments, or Subscription)

  • The payment schedule

  • The invoicing schedule

Step 2 — Make Your Changes

Make your changes in the window that opens. Changes made here apply only to this customer, not to everyone on this payment plan. To edit payment events for a payment plan so the change applies to all future enrollees, see How to Edit Enrollment Period Payment Plans.

NOTE: Changes to payment plan dates made at this stage don't automatically apply to already-enrolled users. Admins must update these dates manually on individual accounts.

NOTE: Customizing invoicing for an individual enrollment isn't supported yet. When you customize a payment plan, it inherits the invoicing settings from the original plan, shown in the window below. This means how invoices are sent, who they're sent to, and how many days before the payment event they go out can't be customized here.

Select Apply to save your changes.
