An Account is typically identified by a name and a unique email address (and optionally an ID). Accounts are owned by a Primary Account Holder, who is ultimately responsible for payment. There are multiple ways to find an Account page in Enrollsy:
Enrollees Table
Invoices Table
Search Bar
We'll go over each of the above places in further detail.
Search Bar
The best way to find an account is to search for an Account in the search bar at the top. Just type in any of the following information:
Enrollee's first and/or last name
Primary or Secondary Account Holder's first and/or last name
Primary or Secondary Account Holder's email address
Primary or Secondary Account Holder's phone number (no spaces)
The following will populate on the search bar depending on the search term:
Primary Account Holder Name
Secondary Account Holder Name
Primary Account Holder Photo
Secondary Account Holder Photo
Enrollee Name(s)
Enrollee Photo(s)
The following will populate on the search bar depending on the search term:
Primary Account Holder Name
Secondary Account Holder Name
Primary Account Holder Photo
Secondary Account Holder Photo
Enrollee Name(s)
Enrollee Photo(s)
After clicking on the Customer, you will be taken to the Billing page. From here, you can then click on Account in the upper tabs, which will take you to the Primary (& Secondary) Account Holder page.
The search bar will show both active and inactive accounts. The inactive accounts will have "inactive" on them:
Enrollees Table
The Enrollee Table (this may be called something different, such as "Students," etc.), shows total Enrollments, Accounts, and Enrollees within the selected Location and Enrollment Period, as well as the total of Enrollments, Accounts, and Enrollees in all Enrollment Periods for the selected Location.
The example below shows the following information for the Open Enrollments Enrollment Period in the Alpine Location:
Total of 147 Enrollments
Total of 125 (active) Accounts (out of 151 for all Enrollment Periods in that Location)
Total of 125 (active) Enrollees (out of 152 for all Enrollment Periods in that Location)
One way to find a Customer's account page is to do the following:
Go to Enrollees in the left Menu and then click on either the Enrollee's or the Account Holder's name
Click the Account Holder, and you will be taken to the Billing page by default
Click the Enrollee's name, and you will be taken to their profile page
From either of those two pages, you can then click on Account in the upper tabs, which will take you to the Primary (& Secondary) Account Holder page.
Inactive Accounts or Accounts/Enrollees with No Enrollments
Inactive Accounts can be seen by clicking the "Inactive" switch in the upper-right corner
Accounts or Enrollees with no enrollment can be seen by clicking "Accounts/Enrollees with no Enrollments" on each page (Accounts or Enrollees).
NOTE: The total number (the smaller of the two) is the total that is in the database, so if that number doesn't match what you can view under each section (active, inactive or no enrollments), then you may need to pull a report to find those Accounts or Enrollees that are not showing. Here are the steps to take that.
Account Export
Inactive accounts also show up on the Accounts Export report. Make sure that Enrollsy has unlocked this feature for you. If you want this feature, and it’s not already unlocked, let us know via chat, and we’ll unlock it for you!
The "Accounts Export" report on the Reports page will export all active and inactive Accounts within Enrollsy to a CSV spreadsheet.
People Page
The People page also has an Active column that shows a checkmark if the account is active. Find out more about this beta feature here.
Invoices Table
Another way to get to a Customer's account is to do the following:
Go to Invoices in the left Menu and then click on either the Enrollee's or the Account Holder's name
Click the Account Holder, and you will be taken to the Billing page by default
Click the Enrollee's name, and you will be taken to their profile page
From either of those two pages, you can then click on Account in the upper tabs, which will take you to the Primary (& Secondary) Account Holder page.
If the account is inactive, you will see "Account Not Active" on the customer's Billing page:
To reactivate an account, click on the Account tab in a customer's account, scroll down and click the "Activate Account" button.
