Going Live Checklist

This checklist covers the essentials of launching; work through each section before going live

Work through each section in order — they're arranged roughly in the sequence we recommend tackling them. As you go, confirm every item applies to your setup and check it off. Some steps depend on outside approvals (like your merchant account or SMS brand registration), so we suggest starting this checklist at least a week before your target launch date. If something on the list doesn't apply to your program, skip it and move on. When everything is checked, head to the Verification section at the bottom to run a live test before announcing your launch.

Merchant Account

  • Has your merchant account been approved? Enrollsy receives credentials from the underwriting team when the account is approved. Contact Enrollsy via the chat bubble within the Enrollsy admin platform if you are unsure of your application status.

  • If you are accepting credit card payments, be sure to see "About EnrollsyPay PCI Compliance" to learn more about PCI compliance and why you must complete it.

SMS A2P Branding

  • Make sure you have filled out the A2P Brand Registration Form. Carriers require all software applications sending SMS messages to personal phone numbers (also known as A2P = Application-to-Person Software) to register each customer as a brand. Once the brand registration is verified by Twilio, our SMS provider, we can turn on the SMS feature.

Locations & Enrollment Periods

  • Are the following published? Location and Enrollment Period(s) MUST be published for Programs and Classes to show on the Enroll Form (even if the Program(s) is private).

Programs & Classes

  • Have all your Programs been created properly? Double-check by editing each Program and verifying the following settings:

    • Enrollment Model

    • Pricing

      • Payment Plans

    • Enroll Form

    • Advanced

  • Have you created Classes (with capacities)? (see How to Edit a Class)

    • If pricing is set on the Class, double-check Pricing and Payment Plans

Documents

Staff/Admin User Accounts

Make sure you have added all Instructors/staff and Admin users. Also be sure the ones who need login access have it turned on and all roles are set up with the correct permissions. Be sure all admins have the correct notifications turned on within their individual profiles (new enrollments, failed payments

Customer Instructions

Download your Enrollsy Customer Instructions Template for your customers and fill it out with your company info. This template has all the login links you will need for your Customers to enroll and log into their accounts.

Convenience Fees Configured

If you want to pass through any fees (for credit cards and/or ACH payments), be sure you have set up a charge item for it and entered the amounts you wish to charge.

Verification

  • To verify the above is done to your satisfaction and that everything is saved correctly and working as intended, you will need to do at least one test enrollment as a customer.

  • Make any changes to Enroll Form fields, Program/Class pricing, or anything else that doesn’t look correct.

NOTE: Remember that you alone are responsible for things working as you want them to.

  • Before you go live, contact us through chat with any bugs you find so we can assist in resolving anything that is not an issue you have control over.
