Use these steps whenever you need to add a new instructor or staff member to Enrollsy. You have to add instructors one at a time because bulk upload isn't available.
Step 1 — Enter the Instructor's Details
Go to the Instructors page (person icon > My Company > Users > Instructors) and click the blue plus (+) button. Enter the following:
Name — the instructor's full name
Cell Phone — required if the instructor will use the Kiosk to check in and out
Email — used for communication and as the instructor's portal login
Bio — shown to enrollees when they choose a class
Step 2 — Assign a Role and Permissions
Roles control what each user can see and do in Enrollsy. You can create as many roles as you need.
To use an existing role, select it from the Role dropdown
To create a new role, click the blue plus (+) button next to Role, enter a name such as Instructor or Full Permission, select the permissions and click Save
Step 3 — Choose Locations and Companies (If Applicable)
If your organization has more than one location or more than one Enrollsy company site, select the instructor's locations under Location(s) and companies under Company(s). If you only have one location and company, these fields fill in automatically.
NOTE: After you add an instructor to another company, go to that company's Instructors page (My Company > Users > Instructors). Then complete the instructor's profile with a role and location.
To switch between companies, instructors click the person icon in the top-right corner of the Instructor Portal, then click the down arrow next to the current company name.
Step 4 — Set Up Portal Login and Class Access
To give the instructor access to the Instructor Portal, check Add a Login. Once that's checked, you can also check Can access all Classes to give the instructor access to:
Every class
Class rosters
Waitlists
NOTE: Confirmation messages don't list instructors with access to all classes on the class.
Step 5 — Add Availability (Optional)
If the instructor's schedule is part of your enrollment process, enter their available days and times. If there's a break in the day, add each time block on its own line (for example, 9:00 a.m. to 1:00 p.m., then 2:00 p.m. to 5:00 p.m.).
When you finish entering the instructor's details, click Save.
Step 6 — Assign the Instructor to Classes
Go to the Classes page, edit each class the instructor teaches and select them under Instructor. Click Save.
Instructors can only see classes they're assigned to, unless you checked Can access all Classes in Step 4. Even with access to all classes, every instructor needs to be assigned to at least one class before they can check in and out.
Step 7 — Send Login Instructions
Once the instructor is set up and assigned to classes, send them How Instructors Log In for the First Time. That article walks them through their first login and setting up multifactor authentication.
