Zapier Automation Ideas for Enrollsy

Every Zap starts with an Enrollsy trigger, which is an event that kicks off an action in another app. Below is each available trigger with a few examples of Zaps you can build. For more ideas, browse the Zapier use cases.

  • New Activity Post - Triggers when an Activity is posted to someone's Activity timeline (examples: Check In/Check out, Present/Absent, Health/Medical Information, Withdrawal)

  • New Lead - Triggers, when 12 hours have passed since someone failed to complete the enrollment process and a Lead, is created, or 15 minutes after a Lead is created manually by an admin user.

  • New SMS Message - Triggers when a new SMS message reply is received.

  • Class Start - Triggers when an enrollment's Class has started for the day.

  • Class End - Triggers when an enrollment's Class has ended for the day.

  • New Enrollment - Triggers when a new enrollment has been created through the Enroll Form, manually by an admin user or optionally by an import.

Before You Start — What to Know

  • Zapier checks Enrollsy for new events every 3 hours, so a Zap may not run right after an event happens

  • The triggers above are the only ones available. There are no triggers for custom Enroll Form fields

  • To request a new trigger, use the chat box in the admin portal and select View Support Menu then Feature Request

New Activity Post — Automate Attendance and Activity Updates

Fires when an activity is posted to someone's activity timeline, such as a check-in or check-out, present or absent, health or medical information, or a withdrawal. You can use it to:

  • Send parents an email or SMS text

  • Add a new row or column to a spreadsheet

  • Create a subscriber or add a tag in an email campaign

New Lead — Follow Up With Unfinished Enrollments

Fires 12 hours after someone leaves the enrollment process without finishing, or 15 minutes after an admin creates a lead manually. You can use it to:

  • Add a contact to a list

  • Add a subscriber to an email campaign

  • Send an email or SMS text

  • Create a conversion event for analytics

  • Create a database item

New SMS Message — Manage Text Replies

Fires when someone replies to an SMS message. You can use it to:

  • Forward SMS messages to a number you choose

  • Send an automatic reply with a custom message

  • Add the contact to a spreadsheet or contact software

Class Start and Class End — Send Class-Time Messages

Class Start fires when an enrollment's class starts for the day. Class End fires when it ends for the day. You can use them to:

  • Send an email or SMS message when class starts

  • Send an email or SMS message after class ends with details about signing up for the next class

  • Send an email newsletter

  • Send an email campaign

New Enrollment — Welcome and Track New Families

Fires when an enrollment is created through the Enroll Form, created manually by an admin, or (optionally) added by an import. You can use it to:

  • Add a contact to contact software

  • Send an email or SMS message

  • Add a subscriber to an email newsletter or campaign

  • Add enrollments to a spreadsheet or document

  • Send a survey
