NOTE: Activities can be posted by Instructors, Admins, and Account Holders (depending on the Activity's settings of who can post it). The name of the person who logged the Activity and the date and time stamp will be recorded in the Enrollee’s Activity Timeline.
How to Log an Activity
The Activities page lets you log Activity to one, some, or all the Enrollees at once. Follow these steps to log an Activity.
Step 1 - Select Activity
Choose the Activity type (Enrollees do not have to be present or checked-in for you to log activities to their timelines). Fill in any necessary information on the Activity.
Step 2 - Select Enrollees & Post Activity
Check the Enrollees you want to log an Activity for, or the "Select all" box at the top. Then click the button at the bottom (it will have the name of the Activity in it to post the Activity.
Photo Activity Example
For example, let's choose the Photo activity. If you’re using the Enrollsy app, the photo option allows you to select from your photo library or take a new photo. Each Activity allows for a note as well.
You can also log other types of Activities unique to the Enrollee. These include Check In/Check Out, Health Check, Note, Room Transfer Absent, and Present, as well as any custom Activities.
Bulk Activities
Instructors can post one Activity to one Enrollee at a time on multiple Classes for multiple dates. This is ideal when you need to record the same Activity for a single Enrollee who participates in several Classes, or whose Activity needs to be logged across a range of dates. There's no need to click into each Class or date individually.
For steps on how to do this, see Introducing the New Bulk Activities Button.
View Activities & Timelines
Enrollee Timeline
The Enrollee timeline provides a detailed view of each enrollee's activity and information. The timeline feature allows Admin users and Instructors to track Enrollee progress and review historical activity in a centralized location.
The Enrollee Activity timeline displays the following:
The Activity timeline (showing actions and updates related to the Enrollee)
The Enrollee's information, including the Programs/Classes they are enrolled in and any program form fields
Account information collected during enrollment
Here are all the places you can find this timeline:
We'll go into each of the above locations and show you how to access the timeline.
Activities Page
Click on "Activities" from the main menu. From the list of Enrollees, click on the Info icon to open the Activitiy timeline.
Classes Page
Click on "Classes" on the main menu. Select a Program to open it, then click on a Class to see the list of Enrollees. The three lines beside each enrollee is the enrollee's Activity timeline. Clicking on the Enrollee's name or the timeline icon opens the Enrollee's timeline.
Check In/Out Page
Select "In/Out" from the main menu. From the list of Enrollees, click on the Info icon to open the Activitiy timeline.
Instructor Timeline
The Instructor timeline has more limited visibility than the Enrollee timeline, as it can only be accessed by Admin users and Instructors themselves. It is not exposed to customers or other portal users, which keeps Instructor activity records appropriately private.
Instructors themselves can view their own timeline from within the Instructor portal under the "My Timeline" section. This gives Instructors a self-service way to review their own activity history without needing Admin involvement, while still preventing them from viewing the timelines of other Instructors.
Class Timeline
The Class timeline is one of three Activity entity timelines in Enrollsy (alongside the Enrollee and Instructor timelines), and it is the most restricted in terms of visibility. Unlike the Enrollee timeline, which can be seen by Admins, Instructors, and Customers, the Class timeline can only be viewed by Admin users and Instructors.
Instructors, on the other hand, view the Class timeline through a dedicated Class Timeline page within the Instructor portal. Because the Class timeline is tied to the class as a whole rather than to an individual enrollee or instructor, it serves as a shared record of Activities relevant to the class group, while keeping that information out of view for customers and account holders.
