Understand and Edit Admin Roles and Permissions

Learn what each Admin permission allows and how to use roles to control what Admins can see and do

Each Admin user in Enrollsy is assigned a role. A role is a set of permissions that controls which parts of the Admin portal the user can access and manage. There are 29 permissions you can turn on or off for each role. To add a new Admin user, see How to Add Other Admin Users.

How Roles and Permissions Work

Permissions belong to roles, not to individual Admins. You can give the same role to several Admins, and they will all have the same permissions.

Important: If you change the permissions on a role, the change applies to everyone who has that role, not only the Admin you're editing. If one Admin needs different permissions, create a new role for that person instead of changing a shared role.

Create or Edit a Role

  1. Go to My Company > Users > Admins.

  2. Click the pencil icon next to the Admin user's name.

  3. Scroll down to Role & Assignments and click Role (or the Admin's current role) to open the Role Management window.

  4. Add a role:

    • If no roles have been created yet, click + New

    • If roles already exist, click the plus button

  5. Enter a name for the role and select the permissions you want it to include. See Permissions You Can Assign below for what each permission does.

  6. Click Save.

  7. Check the box next to the role to assign it to the Admin user.

To change an existing role, open it, select or deselect permissions, and click Save. Remember that this updates the permissions for every Admin with that role.

Permissions You Can Assign

Accounts and Payments

  • Export Transactions — Export payments or charges to accounting software, such as QuickBooks

  • Import Customer Accounts — Import customer accounts into Enrollsy

  • Manage Account Additional Payers — Add, edit, or delete additional payers on a customer's account

  • Manage Charge Items — Add, edit, or delete charge items, such as tuition, registration, and other fees

  • Manage Coupon Codes — Add, edit, or delete coupon codes

  • Manage Discount Items — Add, edit, or delete discount items, such as sibling discounts

  • Manage Gift Cards — Add or invalidate gift cards, if you use them

Programs and Classes

  • Manage Programs — Add, edit, or delete programs

  • Manage Classes & Waitlists — Add, edit, or delete classes and waitlists, and assign enrollments to them

  • Manage Content — Add, edit, or delete class content

  • Manage Holiday Calendars — Manage holiday calendars for programs or classes

  • Manage Instructors — Add, edit, delete, or block instructors

  • Manage Locations — Add, edit, or delete company locations

  • Manage Memberships — Add, edit, or delete memberships, if Memberships are turned on

Enrollment

  • Manage Enroll Form — Manage the fields on the Enroll Form

  • Manage Enrollment Periods — Add, edit, or delete enrollment periods

  • Manage Enrollment Welcome Messages — Add, edit, or delete the enrollment welcome message and confirmation email

  • Manage E-signature Documents — Add, edit, or delete e-signature documents, such as enrollment packets

  • Manage Required Documents — Add, edit, or delete required documents

  • Manage Terms & Conditions — Add, edit, or delete terms and conditions

Company Settings and Users

  • Manage Company Settings — Set up company settings on the My Company page, including contact information, portal settings, company terms, the Enroll Form, and payment settings

  • Manage Kiosk — Set up, manage, and access kiosks

  • Manage Tags — Add, edit, or delete tags

  • Manage Users — Add, edit, delete, or block users. Admins without this permission can't see the Admins option under Users

Reports

Each of these permissions lets the Admin view and edit the matching report or page:

  • View A/R Aging Report

  • View A/R Payment Report

  • View Auto-Processing Report

  • View Invoices Page

  • View Transactions Report — Also gives access to the Payments Dashboard

What All Admins Can Access

Every Admin can use these areas of the Admin portal, even with no permissions selected. You can't turn these off.

  • View the Dashboard page (enrollments, capacities, and ratios)

  • Run activity and check-in/check-out reports

  • View all class lists and rosters

  • Run the transactions export and accounts export (if unlocked)

  • View and edit the Leads page

  • View the Enrollees table and run custom reports there

  • View and use the People page

  • View the Classes page

  • View the Membership page (if applicable)

  • View and add deposits on the Deposits page

  • Use the Enroll Form to enroll customers

  • Open the Support Center from the Support menu

Troubleshooting Permission Issues

The Admins Option Is Missing Under Users

The Admins option only appears for Admins who have the Manage Users permission. To get access:

  • Ask an Admin who has the Manage Users permission to add it to your role

  • Refresh your page once it's been added

Permission Changes Aren't Showing Up

  • Check with your account administrator that the permission was added to your role

  • Refresh your browser, or log out and log back in
