How to Edit Instructor Roles and Permissions

Choose what Instructors can see and do, and set up Instructors who work at more than one Location, Company, or Role

Admin users can edit an Instructor's Role and permissions to control what the Instructor can see and do in Enrollsy. Follow the steps below to update permissions, give an Instructor access to more Locations or Companies, or set up an Instructor who has more than one Role. NOTE: Changing a Role's permissions changes them for everyone who has that Role. If one staff member needs different permissions, create a new Role for that person.

Step 1 — Open the Instructor Profile

  • Go to My Company > Users > Instructors.

  • Click the blue pencil icon beside the Instructor's name.

Step 2 — Open the Role Permissions

  • Scroll down and click the Instructor's Role.

  • Click the blue cog icon to open the Role's permissions.

Step 3 — Select Permissions

Check the box beside each permission you want the Instructor to have:

  • Edit Primary Account Holders: can edit Account info, including any Enroll Form questions in the Account section, such as names, phone numbers, emails, and addresses

  • Manage Classes: can add, edit, or delete the Classes they're assigned to and make Enrollment assignments. The Instructor must be added to the Class or have Can access all Classes turned on.

  • View Unassigned: can view the Enrollees on the Unassigned list on the Classes page

  • Manage Content: can add, edit, or delete content for the Classes they're assigned to

  • Setup Kiosk: can set up Kiosks. See How to Set Up the Kiosk for Account Holders and Instructors for steps.

NOTE: To hide the Unassigned list from an Instructor, turn off both View Unassigned and Manage Classes. The Instructor will still see the number of unassigned Enrollees in the red circle, but they won't be able to open the list.

Step 4 — Save Your Changes

Make sure the correct Role is checked for this Instructor, then click Save.

Add an Instructor to Another Location or Company

If you have more than one Location or more than one Enrollsy Company site, you can give an Instructor access to each one:

  • Open the Instructor's profile as described in Step 1.

  • Scroll down to the Role & Assignment section.

  • Add the Location in the Location field, or add the Company in the Company field.

  • Click Save.

  • If you added a Company, go to that Company's My Company > Users > Instructors page and finish the Instructor's profile with their Role and Locations.

Set Up an Instructor With More Than One Role

If an Instructor has two Roles at your company, like Instructor and Assistant Director, give them a separate profile for each Role. They can use the same phone number and PIN on both profiles to clock in at the Kiosk.

To set this up:

  • Add a second profile for the Instructor. See How to Add a New Instructor for steps.

  • Assign a different Role to each profile.

  • Enter the same phone number and PIN on both profiles.

  • Enter a different email address on each profile.

NOTE: To use the same email address for both profiles, add +1 before the @ in the email address on the second profile.

For example, Susan Smith is an Instructor and an Assistant Director, so she has two profiles in Enrollsy:

Both profiles use the same phone number and PIN, so Susan can check in at the Kiosk with either Role.
