Add Content to a Program: Share Zoom, YouTube, Vimeo & Documents with Enrollees

Upload meeting links, videos, documents, images, and web links so Enrollees can access everything they need from the Customer Portal

If you run remote-only Programs or Classes — or you simply want to give Enrollees one place to find meeting links, handbooks, and instructional videos — Content lets you attach Zoom and Google Meet links, YouTube and Vimeo videos, Google Docs, OneDrive files, images, and any web link directly to a Program. Once added, Enrollees see it in their Customer Portal alongside everything else for that Class.

This guide walks through permissions, adding each content type, customizing the description, rearranging the order, and how it looks to your Enrollees.

Before You Begin

Before adding Content, confirm two things:

1. Permissions. The user adding Content must have the Manage Content role permission. Admin Users can edit role permissions under My Company > Users > Admins or Instructors. For step-by-step instructions, see Admin User Permissions and Instructor Permissions.

2. Shared Classes behavior. If your Program uses shared Classes, any Content you add will be applied once per shared Class — even if you select only one Class. Plan accordingly so Enrollees don't see duplicates.

NOTE: If you have shared Classes, any content you add will be applied multiple times to the Program—once for each shared Class. The system adds the content based on the total number of shared Classes, even if you select only one specific Class.

Where to Find the Content Page

Content is managed from the Content page, which both Admins and Instructors can access:

  • Admin Portal: Click Classes in the left menu, then open the Content tab.

  • Instructor Portal: Click Content in the left menu.

Once you're there, follow the steps below to add your first piece of Content.

Add a Link (Zoom, YouTube, Vimeo, or Any URL)

The Add Content workflow is the same for every link type — only the Link type dropdown changes.

1. Select the Program. Choose the Program you're adding Content to, then click Add Content.

2. Choose the audience. Select All Classes to make the Content visible to every Class in the Program, or Specific Classes to limit visibility.

3. Enter a Title and pick a Link type. Supported types include:

  • YouTube

  • Vimeo

  • Meeting (Zoom, Google Meet, etc.)

  • Any weblink

Paste the URL into the URL field. This can be a video URL, a meeting link, or any web page address.

Add a Document or Image

Documents

To attach a Document (a Google Doc or OneDrive file, for example), open the file, copy the URL from your browser's address bar, and paste it into the URL field of the Add Content modal. Treat it like any other link — Enrollees will be able to open it directly from the Customer Portal.

Images

Images are added from inside the Advanced Description editor (covered in the next section), not from the main URL field. The image must already be hosted somewhere accessible — Google Photos works, but Google Docs does not. Right-click the hosted image, choose Copy Image Address, and paste it into the Source box of the Insert/Edit Image dialog. The Width and Height fields should auto-populate; adjust them to fit the space.

Tip: If width and height don't appear, the source URL is incorrect — try re-copying the image address from a different hosting location.

Customize the Description

Every piece of Content has a description, and you can choose how it appears:

  • Basic — Uses the system's default generic design and a plain-text description. Best when you just need a short line of context.

  • Advanced — Opens a Rich Text editor where you can add formatting, links, and embedded images for a more polished look in the Customer Portal.

Add any instructions Enrollees may need (how to join the meeting, what to read first, etc.), then click Save.

Rearrange Content

Once Content is saved, Enrollees see each piece as a preview card in their Customer Portal. The card layout adapts to the Link type you selected. Here's a quick reference for what each type looks like:

Document

Displays the document title, an optional preview image (when using an Advanced description), and a View button that opens the file in a new tab. Great for handbooks, permission slips, or reading material.

Meeting (Zoom, Google Meet, etc.)

Displays the meeting title, a meeting graphic, your description text, and a Join button that launches the meeting link. Ideal for recurring virtual Classes.

YouTube

Embeds the YouTube player directly inside the card so Enrollees can watch without leaving the portal. The video title and description appear above the player.

Vimeo

Embeds the Vimeo player directly inside the card, just like YouTube. Use this for content hosted on Vimeo such as instructional or homework videos.

Web Link

Displays the link title, your custom description and image (when using an Advanced description), and a View button that opens the URL in a new tab. Best for external resources or third-party pages.
