Archiving is the best way to clean up your Programs page without losing any history. When you archive a Program, it's hidden from your Enroll Form, Customer Portal, and Instructor Portal — but all enrollment, account, and transaction history stays intact and can be brought back at any time by unarchiving.
ommon reasons to archive a Program include: a Program has ended and you want to keep its enrollment history, or a Program hasn't started yet but you want to build it in advance and keep it out of the active view.
You can archive Programs from the Programs page. Prefer to watch instead of read? The short video below walks through the full process.
How to Archive a Program
Enrollsy lets you archive Programs one at a time or in bulk. Pick whichever method matches how many Programs you're cleaning up.
Archive a Single Program
To archive one Program, go to the Programs page, click the three-dot menu beside the Program you want to archive, and choose Archive. The Program will immediately move to the Archived tab.
Bulk Archive Multiple Programs
To archive several Programs at once, check the box next to each Program you want to archive, then click the Archive selected Program(s) icon at the top right of the table. All selected Programs will be moved to the Archived tab in one step.
What Happens When You Archive a Program
Whether you archive a single Program or several at once, Enrollsy will display a confirmation dialog summarizing exactly what archiving will do. Here's a breakdown of those effects.
Removals — what gets hidden
Archived Programs are removed from the following areas:
The Enroll Form — no one will be able to enroll in the Program going forward.
The Customer Portal and the Instructor Portal — the Program will no longer appear in either portal.
The Classes page — Classes inside the archived Program become inaccessible from the Classes view.Cancellations — what gets stopped
Cancellations — what gets stopped
Archiving also cancels the following future-dated items for enrollments in that Program:
All future Class reminders.
All future Invoices and Payment Events scheduled for the Program.Preservations — what stays safe
Preservations — what stays safe
Archiving never deletes data. Enrollsy preserves the full historical context of every enrollment in the Program, including Account information, Enrollee information, and all historical transactions (payments and charges). Nothing is lost — it's simply moved out of your active view.
How to View Archived Programs
To see Programs you've already archived, open the Programs page and click the Archived tab at the top of the table. You can switch back to active Programs at any time using the Current tab.
How to Unarchive a Program
Changed your mind, or ready to bring a Program back into active use? You can unarchive one Program at a time or several at once from the Archived tab.
Unarchive a Single Program
From the Archived tab, click the three-dot menu beside the Program, choose Unarchive, and confirm with Unarchive. The Program will return to the Current tab.
Bulk Unarchive Multiple Programs
To unarchive several Programs at once, check the box next to each Program in the Archived tab, then click the bulk Unarchive icon at the top right of the table.
NOTE: When you unarchive a Program, all of the removals and cancellations described above are reversed — the Program reappears on the enroll form, customer portal, and instructor portal, and Classes inside it become accessible again. Future Class reminders, Invoices, and Payment Events will need to be regenerated if needed, since the originals were canceled at the time of archiving.
