Programs are the foundation of how customers find and sign up for what you offer. As your business changes, you'll need to update them — new dates, new pricing, new questions on the Enroll Form, or new options for customers to choose from. This guide walks through every editable area of a Program, plus how to safely delete or archive one when it's no longer needed.
Before you start, make sure you're editing the right Program. Changes save instantly in most areas, and some actions (like deleting a Program or removing a Location) can permanently remove Classes and enrollment data.
Edit one Program — quick path
Go to Programs → click the pencil → make your change → Save
Editing Multiple Programs at Once
Tip: Most settings in this article can be updated across multiple Programs at the same time using the Bulk Update tool on the Programs page.
Step 1 — Select the Programs On the Programs page, check the box next to each Program you want to edit, or click Select All on the left.
Step 2 — Open the Bulk Editor Click the Bulk Edit icon at the top of the list (the pencil icon — third button from the left, also referred to as the "bulk pencil icon" or "bulk update button"). This opens the Program Editor in bulk mode.
Step 3 — Understand the Bulk Update Toggle (Button States) In bulk mode, every setting has a toggle ("Enable Editing") button next to it that controls whether that setting will be changed on the selected Programs:
Gray (off): The setting will not be touched — existing values on each Program are preserved.
Yellow (enabled, not configured): If you leave the toggle yellow when you bulk update, it will clear/erase the existing value for that setting on every selected Program.
Green (enabled and configured): The setting will be updated on every selected Program with the value you configured.
⚠️ Important: A yellow toggle is destructive — it wipes the existing value. Only leave a toggle yellow if you intentionally want to remove a setting from all selected Programs.
Step 4 — Apply the Updates After configuring each setting you want to change, click the Bulk Update button at the bottom of the editor. A warning dialog will appear verifying that you want to bulk update the selected Programs. Click Update to confirm and save the changes.
What you can Bulk Update: Locations, Enrollment Period (Enrollment Ends On), Coupon Codes, Required Documents, E‑signature Documents, Terms & Conditions, Enrollment Welcome Message, Pricing, Payment Plans, and most Enroll Form settings (toggle the relevant Enroll Form item on inside the bulk editor before configuring).
What you can't Bulk Update:
Deleting Programs — Programs must be deleted one at a time. (To delete in bulk, see this support article.)
Bulk Class descriptions/instructions — these have a separate workflow; see the linked support article.
Bulk Archive (alternative to delete): While bulk delete isn't available, you can archive multiple Programs at once. Select the Programs you wish to archive and click the Bulk Archive button. Archived Programs move under the Archived tab.
How to Edit Program Options
Prefer to watch instead? See this video for how to add or edit Program Options:
Program Options are the choices that funnel an enrollee toward a final selection — think of them as guided drop-downs that help customers pick the right Program without feeling overwhelmed. Every Enrollsy account starts with two built-in options: Location and Enrollment Period. You can edit those and add as many custom options as you need (Program Name, Schedule, Age Group, etc.).
💡 You can rename built-in terms (like "Location" or "Enrollment Period") under **My Company > What Do You Call Things?**
Locations (built-in option)
NOTE: Locations are not free. Our pricing is on a per-Location basis.
If you're unsure whether your setup qualifies as a new Location, message us in chat before adding or removing one.
Adding Locations
Once you've created more than one Location (learn how here), the Location field in the Edit Program screen becomes a multi-select. Check every Location where this Program should be offered.
Removing Locations — read this first
🛑 Do NOT remove a Location from a Program unless you're certain you no longer need those Classes. Adding the Location back will restore the Program, but the Classes inside it will not return — and any enrollment data tied to those Classes is gone for good.
If the Class still has enrollments, you'll see a re-enrollment screen prompting you to move Enrollees before the change can save.
Need a temporary hide instead of a remove? Try one of these:
Make the Program private so it doesn't appear on the public Enroll Form.
Reduce Class Capacity to stop new enrollments.
Duplicate the Program as a backup, then archive the duplicate until you need it again.
Enrollment Period (built-in option)
Enrollment Periods break enrollments into segments (seasons, terms, cohorts, etc.). Use them when you need to track or report on enrollments separately over time.
Other Program Options (custom)
Beyond Location and Enrollment Period, every other Program Option is yours to design — name, order, number of options, images, descriptions. In the screenshot below, the admin added a custom Program Name option and Schedule option.
💡 You can rename built-in terms (like "Location" or "Enrollment Period") under My Company > "What Do You Call Things?"
Editing a Program Option
Open the Programs tab in My Company settings and click Manage Program Options.
Click the blue pencil icon next to a Program Option to rename or delete the entire category (e.g., "Program Name").
Click the outlined pencil icon next to an individual value to rename or delete just that value (e.g., "Private Art Lessons").
⚠️ Important: Two Programs should never share the same Program Option values (especially the same name). If they do — and one is public while the other is private — one of them may disappear from the Enroll Form.
Reordering Program Options
Program Options display on the Enroll Form left to right, top to bottom in the order shown in Manage Program Options.
To reorder Program Option Categories (the whole columns): drag the six dots in the upper-left of each card.
To reorder individual values inside a category: drag the six dots on each row.
Deleting a Program Option
Deleting a Program permanently removes it from Enrollsy along with all of its Classes. There is no undo. Before you start, read the impact list below and consider whether archiving is a safer option for your situation.
⚠️ Before You Delete — What Will Happen
If you delete a **single value** (e.g., "Fall" under "Semester") that's still in use, it disappears from the Enroll Form and a red caution icon appears on the Programs page for every Program that used it.
If you delete the **entire Program Option Category** (e.g., "Semester" itself), the whole column disappears from both the Enroll Form and the Programs page until you re-create it.
🛑 There is no undo button. Any Classes that were in the Program will also be deleted. If you accidentally delete a Program and need it recovered, contact Enrollsy Support through the chat button as soon as possible — recovery is sometimes possible, but only if we hear from you quickly.
Steps to Delete
1. Open **Manage Program Options** (Programs tab → My Company).
2. Click the **blue pencil icon** beside the Program Option to edit or delete the category.
3. Or click the **outlined pencil icon** to edit or delete an individual value.
✅ Good news: Deleted values can be added back at any time and they'll reappear on the Enroll Form once re-attached to each Program. This recovery only works for deletes — renaming, changing images, or changing descriptions is not reversible the same way.
Reassigning Programs After a Deletion
When a Program Option is deleted, a red caution icon appears next to every affected Program.
You have two choices:
Reassign the Program to the new/edited Program Option by clicking on the pencil icon beside the affected Program and filling in the option.
Archive or delete the affected Program. To archive, check the box next to it and click the Archive button.
Hiding Program Options
Hiding a Program Option keeps the data intact but removes it from the admin Program editor. It's useful for retiring an option without losing history. See Hiding Program Options in the Admin Portal for steps.
Change the Order of Programs on the Enroll Form
If you need to adjust the order Programs appear on the Enroll Form, here's how.
The order of your first Program Option controls the order of Programs on the Enroll Form.
Open the Programs tab in My Company settings and click Manage Program Options.
If your list is long, click the Expand/Shrink icon in the upper-right to see everything at once.
Drag the six dots in the upper-left of each card to reorder Program Option Categories (columns), or drag the six dots on each row to reorder values within a category. Program Options display to customers from left to right and top to bottom.
Reorder the different Program Option Categories by clicking the six dots and dragging them to a different order.
Reorder the different Program Options within a Program Option Category by clicking the six dots and dragging them to a different order.
Edit Program Dates
Prefer to watch instead? See this video to see how to edit Program dates.
When the dates for a Program change, head to the Programs page and follow these steps.
Click the pencil icon to the right of the Program you want to edit.
Scroll down to Enrollment Model and click the pencil icon to edit start/end days/dates.
Choose the schedule type — Weekly Schedule or Pick Dates.
Weekly Schedule
Use this when the Program meets on specific days each week for a set duration. Choose the days of the week, then the calendar start and end dates.
Pick Dates (doesn't recur)
Use this when the Program meets on specific dates only. Choose those dates from the calendar widget.
💡 If you chose Weekly Schedule, you may want to add a Holiday Calendar with closings. See How to Add Holidays and Closing Dates.
Edit Program Pricing & Payment Plans
Prefer to watch instead? See this video to see how to edit pricing and payment plans.
Pricing can be set at the Program level or the Class level. Edit the one that matches how your account is configured.
Program Pricing
Suppose your pricing is at the Program level, head over to the Programs page (accessed from My Company > Programs or Classes page > Programs). Follow these steps:
Click the pencil icon next to the Program. (You cannot edit pricing for multiple Programs at once.)
In the editor, click Pricing on the left.
Choose Fixed Cost or Subscription under Program Cost.
Adjust pricing:
Click Save.
💡 To edit existing Payment Plans or create a new one (change plan name, due dates, or invoice settings), see How to Create Payment Plans. To edit an individual's Payment Plan, see How to Add or Edit Payment Plans on Accounts.
Class Pricing
If pricing is at the Class level, go to the Classes page from the left menu.
Click the down arrow beside the Class and then the pencil icon.
In the editor, click Pricing on the left.
Adjust pricing:
Click Save.
Customize Enroll Form Settings
The Enroll Form section of a Program controls almost everything a customer sees and submits during enrollment.
To get there: open the Programs page, click the pencil icon beside the Program, and select Enroll Form in the left menu.
From here you can configure:
Enrollment Ends On date
Enrollment Conditional on Age / Age Restrictions
Prerequisite Programs
Coupon Codes
Add Program Fields/Forms
Add Required Documents
Add E-signature Documents
Add Terms & Conditions
Add Enrollment Welcome Message
Override Program Instructions
See Customizing Enroll Form Settings on a Program for more information on the above settings.
Delete a Program
🛑 Deleting a Program is permanent. Any Classes inside it are deleted with it, and enrollment data is gone. There is no undo. Read the impact list before you start.
What deleting a Program will do
Removes it from the Enroll Form
Removes it from the Customer Portal
Removes it from the Instructor Portal
Makes all Classes within the Program inaccessible on the Classes page (they are deleted with the Program)
Cancels any future Class Reminders
Cancels any future Invoice and Payment events
Steps to Delete
Open the Programs tab in the My Company settings.
Remove enrollments — No Enrollees can be in the Program's Classes before it can be deleted. If there are enrollments, a warning page appears telling you to re-enroll (or delete) those Enrollees first.
Click the enrollments link (e.g., "14 enrollments") to view the affected Enrollees.
See How to Delete an Enrollment for the steps.
NOTE: If there are any UNASSIGNED Enrollees within a Class, reassign them to another Class before you can delete the Program.
Delete the Program — After moving all Enrollees out, click the three dots beside the Program and choose Delete.
A confirmation dialog will list the effects of deletion. If you still want to proceed, click Delete again. Programs must be deleted one at a time — there is no bulk delete. Any Classes that are in the Program will also be deleted.
🛑 There is no undo. If you accidentally delete a Program and need it recovered, contact Enrollsy Support through the chat button as soon as possible — recovery is sometimes possible, but only if we hear from you quickly.
Alternative: Archive a Program Instead
Archiving keeps the Program and its data, but removes it from active views. It's the safer choice when you might need the Program back.
Archive one: Click the three dots beside the Program and choose Archive.
Archive many: Select the Programs and click the Bulk Archive button.
A confirmation dialog will list the effects of archiving. Click Archive to confirm. The Program will move under the Archived tab.
For full archive/unarchive details, see How to Archive and Unarchive Programs.
