Important Information about Text Messaging
All text messages in Enrollsy are fully transparent. Every message sent, no matter who sends it, shows in the message history on the account.
These users can send and receive text messages:
Admin users with any level of permissions
Instructors
Customers (Account Holders)
When a new Customer text comes in, both the Admin and the Instructor get an unread message notification in Enrollsy. If one of them marks the message as read, it stays unread for the other, so everyone stays in the loop.
How Admin-to-Instructor Texting Works
Admins can text Instructors, but only as a one-way announcement. Instructors can't reply to these texts. If you need two-way texting between Admins and Instructors, use the Workaround for Two-Way Texting below.
How to Send Text Messages to Instructors
Go to My Company > Users > Instructors.
Select the Instructors you want to text.
Click the SMS icon. A window opens on the right with the selected Instructors' names.
Type your message and click Send.
How to Copy Instructors on Text Messages
You can't copy Instructors directly on texts sent to a Class or group of Account Holders. To send them the same message:
Select and copy the text of the message you sent to your Customers.
Follow the steps in How to Send Text Messages to Instructors above to open the SMS window.
Paste the message and click Send.
How to See Text Messages Sent to Instructors
To see texts sent to Instructors, add yourself as an Instructor. When you text all your Instructors, you'll get the message too and can check the history on your phone.
You can use the same email address for your Instructor profile that you use as an Admin. Learn how to add Instructors.
Workaround for Two-Way Texting
To let Instructors text Admins, create an Admin Program and Class, then create a Customer account with each Admin enrolled. Instructors can then text Admins through the Instructor App, the same way they text Customers.
Step 1 — Create an Admin Program Option
In your Program Options, add a new Program Name such as Admin or Admin-Instructors.
Step 2 — Create the Admin Program
Create a new Program and pick the Admin Program Name you just added. Fill in only the required Program Options. Your options may differ from the example below (Program Name, Schedule, Time and Location).
Step 3 — Create the Admin Class
Create a Class in the Admin Program with the same name.
Add every Instructor who needs to send and receive texts.
Set the Capacity to the number of Instructors.
Click Save.
Step 4 — Create a Customer Account for Admins
Create a Customer account the same way you would for a regular Customer. Learn how to create a Customer account.
Use the same email address you use as an Admin user
Add only the required information, usually name, email address and phone number
Enroll each Admin as an Enrollee (Student, Child or whatever you've named this role) in the Admin Class
Log in through the Enrollsy Customer App (Google Play Store or Apple App Store) or your company's Account Link on the My Company page
Step 5 — Instructors Text Admins Through the Instructor App
In the Instructor App, Instructors open the Admin Program, select an Admin and tap the chat bubble to send a message.
Admins get these texts in their phone's messaging app and in Enrollsy. To see them in Enrollsy, log in on the Admin side and open your Customer account.
Show Instructor Names Instead of Sender Unknown
If an Instructor's phone number isn't on a Customer account, their texts show as sender unknown. For their names to show in SMS notifications, create a Customer account for each Instructor with the same phone number.
How Customers Text Instructors
Customers get texts in the messaging app on their phone. Right now, the only way a Customer can contact an Instructor is by replying to a text the Instructor sent.
Workaround — Send an Introductory Text
Before classes start, have the Instructor send each Customer a text and ask them to save the number. Then if an Enrollee will be late or absent, the parent can text the Instructor directly instead of contacting your organization.
